Operations & HR Manager


We are looking for an individual with real estate experience (preferred, not required), Human Resources management and Operations experience who thrives in a tasks-based, detail-oriented environment and can oversee many transactions and duties at a time. The Operations and HR Manager is committed to supporting the company in achieving greater levels of success, to growing their own skills and developing into a supportive leader and partnering with real estate brokers and employees on employee relations, employee development, performance management, and workplace issues. This role contributes to creating and implementing strategic HR initiatives, policies and procedures.



Responsibilities

  • Scheduling third party vendors to accomplish necessary repairs, improvements and cleaning for the office and ensuring invoices are received and submitted to accounting
  • Contributes to leadership development by providing guidance on HR related topics including employee relations, interpretation of policies and State and Federal employment laws
  • Assists with the resolution of complex complaints by conducting thorough and objective investigations; preparing comprehensive notes and formulating recommendations for remedial actions
  • Marketing & Admin staff management
  • Office calendar and tracking
  • Company website management
  • System development, implementation and management
  • Prepares performance improvement plans and/or performance documentation for the company
  • Advises the company on decisions related to disciplinary actions and involuntary terminations.
  • Responds to employee complaints; facilitates effective and positive resolution of employee issues, displaying a genuine interest and respect for people and their concerns
  • Regularly resolves conflicts and effectively has difficult conversations
  • Manages company policy and employee guidelines by preparing, updating and recommending policies and procedures to ensure compliance with Federal, State and local employment laws.
  • Prepares written performance reviews on an annual basis.
  • Supports annual performance and merit pool processes.
  • Develops and implements key HR projects, initiatives and programs which support the firm's goals and strategies
  • Partners with Recruitment team on managing hiring new employees.
  • Be the first point of contact in handling both customer and employee complaints
  • Document tracking and invoicing for large volume real estate transactions
  • Ensure real estate contracts are processed properly and in a timely manner, with great focus on details
  • Ability to digest detailed contracts and make informed decisions based on content
  • Managing day to day operations for the office i.e. supply orders, deal tracking, database management, etc.



Required Qualifications:

  • In-depth knowledge of Real Estate
  • Bachelor's Degree in Human Resources or a related field with a minimum of 3 years progressive HR Manager/Office Manager with a heavy concentration in employee relations and Independent Contractor vs Employee designations
  • In-depth understanding of U.S. labor laws (Federal, State, and city level) in multiple states, particularly in CA
  • Exceptional organizational and project management abilities
  • Great ability to focus
  • Real Estate transaction compliance
  • Experience building strong trusting relationships and using influencing strategies to gain support and achieve positive results
  • Strong internal and external customer service focus with a passion for innovative HR solutions and process improvement
  • Impeccable follow-through, organization and attention to detail
  • Demonstrated ability to manage a high-volume work load and willingness to be collaborative and support team efforts
  • Strong interpersonal skills and good judgement to manage sensitive and confidential matters
  • Proficiency with MS Office (Outlook, Word, Excel, PPT), CoStar, and CRMs experience a plus
  • Proficiency with using an HRIS system
  • Superior communication skills with demonstrated aptitude to communicate effectively in both individual and group settings to a variety of audiences


Preferred Qualifications:

  • Real Estate License
  • PHRca Certification, or graduate degree in Human Resources
  • DocuSign, MailChimp, Google Suite, Mac and Windows computers, Adobe Creative Suite
  • Customer Service oriented personality


Salary is commensurate with experience and can vary based on several factors.. There may be times that you will be required (or requested) to work overtime due to the nature of your role or exceptional workload issues or special projects.
