DEPARTMENTAL SUMMARY: The Guest Services department focuses on the interface between the community and St. Charles. Specific programs include: volunteers and guest services. This team ensures St. Charles is a recognized cornerstone of Central Oregon, committed to the health of community members and the economic development of the region.

POSITION OVERVIEW: The Volunteer Services Coordinator at St. Charles Health System will work closely with volunteers to provide quality service to our patients, their families, and the community. This individual will develop new volunteer services that positively impact patient care and hospital operations. The Volunteer Services Coordinator will provide supervision, leadership, and development of guest/hospitality services and programs and will work with hospital department leaders to create volunteer positions that support patient care. This position does not directly manage any other caregivers, but will manage volunteers.

ESSENTIAL FUNCTIONS AND DUTIES:

Ensures adequate volunteer staffing to meet the needs of all St. Charles Health System Hospitals; strives to grow the volunteer program.

Assists with the coordination and execution of special events that utilize volunteers and/or supports the Foundation.

Ensures volunteers are adequately orientated, trained, supported, and appreciated.

Adheres to all Joint Commission standards and ensures these standards are reflected in the screening, orientation and training of volunteers. Ensures that volunteers comply with HIPAA regulations.

Maintains volunteer records, statistics, and reports.

Motivates volunteers to achieve patient care objectives.

Manages the monthly volunteer schedule ensuring that mission critical positions are staffed to meet hospital needs.

Maintains current knowledge of SCHS clinical and administrative services.

Coaches and monitors the performance of all Volunteer Services staff to develop and maintain a high performance team that meets organizational and department goals.

Serves as an ambassador to the community at large.

Maintains a recruitment plan utilizing relationships within their respective community to provide a continual pool of people in which to support and expand volunteer resources and staffing.

Coordinates and supervises volunteers and volunteer-involved events.

Oversees purchasing and pricing of product, scheduling of volunteers, and special events (i.e. sales, discounts, fundraising events) as it relates to the Redmond, Prineville, and Madras Gift Stores. Responsible for profit and loss margins based on yearly financial data. Participates in yearly inventory count to maintain inventory integrity.

Schedules regular volunteer meetings to disseminate new information, policies, procedures, and safety practices to active volunteer staff.

Assists in organizing and operation of fundraising events such as book fairs, scrub sales, and other fundraising events to provide financial support to Volunteer Services.

Coordinates projects as needed (and requested) at all St. Charles Health System Hospitals.

Provides patient care support in a way that is safe, timely, effective, equitable, efficient, and patient centered.

Supports the vision, mission and values of the organization in all respects.

Provides and maintains a safe environment for caregivers, patients and guests.

May perform additional duties of similar complexity within the organization, as required or assigned.

EDUCATION:

Required: High School Diploma or GED.

Preferred: Associates Degree.

LICENSURE/CERTIFICATION/REGISTRATION:

Required: Valid Oregon driver's license and ability to meet SCHS driving requirements.

EXPERIENCE:

Required: Two (2) years customer service and/or clerical experience.

Preferred: Experience in managing or coordinating volunteers.

PERSONAL PROTECTIVE EQUIPMENT:

Must be able to wear appropriate Personal Protective Equipment (PPE) required to perform the job safely.
