Job Description: Performs administrative and office support activities for multiple manager and director level individuals. Duties may include fielding telephone calls, receiving and directing visitors, document processing, creating spreadsheets and presentations, and filing. Position is also responsible for entry as directed for items such as travel, expense reports and meeting coordination.

What is your day to day?

* Act as an interface with client, visitors and guests
* Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption
* Ensure appropriate follow up with Client
* Maintain calendar and secure travel arrangements as directed
* Organize files as directed and maintain directory of stored files
* Provide administrative support to create, modify or finalize documents as directed.
* Send documents via mail, UPS or FedEx
* Book rooms as directed for meetings
* Submit food requests for meetings
* Order supplies and submit equipment requests
* Process expense reimbursement requests and allocate cost as directed
* Organize incoming communications and distribute as directed
* Provide general overall facility management services including continuous monitoring of office/facility

Desired experience and technical skills

Required

* 2+ years direct experience in a support function role
* Experience utilizing Microsoft Office applications; including Word, Outlook and Excel
* Ability to view, update, and navigate within Internet based systems.
* Professional demeanor, ability to work effectively in an autonomous environment
* Strong organizational skills and collaborative style
* Works within established procedures with a moderate degree of supervision
* Provide support for meetings and conference room reservations as needed and directed
* Assist with the coordination and scheduling of maintenance activities

Preferred

* Executive level reporting
* Working within travel software systems
* Superior customer service skills and orientation
* Ability to maintain professionalism at all times under stressful situations
* Ability to plan and manage work under time constraints.
* Ability to multitask and work without direct supervision
* Proficient in MS Office, and possess strong written, verbal and people skills
* Has developed knowledge and skills through formal training or considerable work experience
* Provide facility specific assistance to the JLL Facilities Management team as needed or requested
* Coordinate special events in support of client or JLL
* Properly and effectively administer and maintain all security systems
