The Pima County Administrator's Office seeks a motivated and personable professional to join our administrative support team. The successful candidate will be able to work collaboratively within a team environment, provide excellent customer service to internal and external customers, and identify resources and solutions to address common constituent inquiries. The individual serving in this role must communicate effectively and professionally with staff at all levels of the organization and with members of the general public. This position requires excellent analytical skills, attention to detail, the ability to prioritize work, and strong planning and organizational skills.

This is an appointed, unclassified position and is exempt from the Pima County Merit System Rules.

(Work assignments may vary depending on the department's needs and will be communicated to the applicant or incumbent by the supervisor)

Assists in the planning and management of operational projects;

Designs and implements special managerial studies;

Assists in the development of policy statements concerning managerial and supervisory practices, issues and procedures;

Acts as the department or division representative on various county committees, boards, and at various meetings;

Aides in the support of County and departmental goals and functions;

Participates In the development and monitoring of special projects;

Designs and conducts special projects of a politically sensitive nature on behalf of managerial or executive staff;

Plans, organizes, and schedules various departmental meetings;

Establishes and maintains liaison with various outside agencies, groups, and concerns;

Conducts surveys to gather information for studies or research;

Responds to public inquiries, resolving potential problems and addressing pertinent issues;

May supervise and train staff.

KNOWLEDGE & SKILLS:

Knowledge of:

* public sector organization and functions;
* public administration principles and practices;
* basic managerial techniques and practices;
* study and research methodology.

Skill in:

* representing the department or division;
* communicating effectively, both orally and in writing;
* assisting in management and supervision;
* reviewing functional and operational procedures.

Professional administrative or management experience.

Preferred Qualifications: (Be specific in describing your experience in your application. Ensure the descriptions provided illustrate your competencies, specifically addressing the required and preferred qualifications.):

 

* Ability to communicate effectively verbally and in writing.
* Experience with procurement processes.
* Experience with/knowledge of County related administrative procedures, procurement policy, merit system rules, and personnel policies.
* Experience managing multiple complex calendars for senior leaders/administrative staff.
* Advanced Microsoft Office expertise.

Selection Procedure:

Pima County Human Resources Department reserves the right to admit to the selection process only those candidates that meet the minimum/desired qualifications. Candidates meeting the minimum/desired qualifications may be further evaluated/scored against any advertised Preferred Qualifications. Additional assessments/testing may be required as part of the selection process. 

Licenses and Certificates: Valid driver's license is required at the time of application. Valid AZ driver's license is required at the time of appointment. The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine the applicant's suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Any offer of employment resulting from this recruitment is contingent upon Fleet Services' review and approval of the candidate's driving record. 

 

Special Notice Items: This is a classification in the unclassified series and is exempt from the Merit System Rules. The County requires pre-employment background checks. Successful candidates will receive a post-offer, pre-employment background screening to include verification of work history, education, and criminal conviction history. A prior criminal conviction will not automatically disqualify a candidate from employment with the County.
