Job Description:
As an Accounts Payable Specialist, you will be responsible for ensuring the accurate and timely processing of vendor invoices and payments. Your attention to detail, problem-solving skills, and expertise in accounts payable processes will contribute to the smooth functioning of our finance department.
Job Responsibilities:
  • Process and verify vendor invoices, ensuring proper coding, approvals, and documentation.
  • Generate payment to vendors on a routine schedule and match the check with backup for review by the Accounting manager.
  • Maintain accurate records of accounts payable transactions, including reconciliations and journal entries.
  • Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used.
  • Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to company standards.
  • Review automatic payments to ensure correct coding and authorization as well as sufficient contracts and documentation.
  • Develop and maintain a filing system for financial information, records and documents to ensure easily available information.
  • Perform regular account reconciliations to ensure accurate financial reporting.
  • Respond to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment, recording sales tax, assisting with bank reconciliations, and documenting loans.
  • Collaborate with vendors and internal departments to resolve payment discrepancies and inquiries.
  • Research information to provide accurate and timely solutions to internal clients and vendors at multiple locations.
  • Assist in the preparation of financial statements and reports related to accounts payable.
  • Monitor and review expense reports and employee reimbursements for compliance with company policies.
  • Maintain a strong understanding of tax regulations and compliance requirements related to accounts payable.
  • Participate in the implementation and improvement of accounts payable processes.

Job Skills & Qualifications:
  • Bachelor’s degree in accounting, Finance, or related field. Relevant certifications are a plus.
  • 1 year of experience as an Accounts Payable Specialist or similar role.
  • Proficiency in accounting software and Microsoft Excel.
  • Strong knowledge of accounts payable principles, practices, and best practices.
  • Excellent attention to detail and accuracy in data entry.
  • Effective communication skills for interactions with vendors and internal stakeholders.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Experience with QuickBooks preferred. 
  • Strong problem-solving skills and a proactive approach to addressing issues.
  • Integrity and commitment to maintaining the highest ethical standards in financial operations.
