Job Summary:

The Accounts Payable Supervisor oversees the daily operations of the accounts payable department, ensuring that all invoices and expense reports are processed accurately and in a timely manner. This role involves managing a team of accounts payable clerks, ensuring compliance with company policies and procedures, and maintaining strong relationships with vendors and internal departments.

Key Responsibilities:
  1. Supervision and Leadership:
    • Supervise and mentor the accounts payable team, including hiring, training, and evaluating performance.
    • Assign tasks and manage the workflow within the department to ensure efficiency.
    • Provide guidance and support to team members, resolving any escalated issues.
  2. Invoice and Payment Processing:
    • Oversee the processing of invoices, ensuring accuracy and compliance with company policies.
    • Monitor payment cycles, ensuring that payments are made in a timely manner.
    • Manage the AP ledger, ensuring it is updated and reconciled regularly.
  3. Vendor Relations:
    • Maintain strong relationships with vendors, addressing any payment discrepancies or disputes.
    • Negotiate payment terms with vendors as needed to optimize cash flow.
    • Ensure that vendor accounts are reconciled and that any discrepancies are resolved promptly.
  4. Compliance and Reporting:
    • Ensure that the AP department adheres to all internal controls and compliance requirements.
    • Prepare and analyze AP-related reports, including aging reports, payment forecasts, and month-end close reports.
    • Assist in internal and external audits by providing documentation and explanations as needed.
  5. System Management:
    • Oversee the maintenance and updates of the accounts payable systems, including software and automation tools.
    • Identify and implement process improvements to enhance efficiency and accuracy in the AP department.
  6. Cross-functional Collaboration:
    • Collaborate with other departments, such as purchasing, finance, and treasury, to resolve issues and streamline processes.
    • Work with the finance team to ensure accurate recording of expenses and proper allocation of costs.
  7. Other Duties:
    • Assist with special projects as assigned by the finance manager or controller.
    • Stay updated on industry best practices and trends in accounts payable management.
Qualifications:
  • Education: Bachelor's degree in accounting, finance, business administration, or a related field.
  • Experience: Minimum of 3-5 years of experience in accounts payable, with at least 2 years in a supervisory or leadership role.
  • Skills:
    • Strong leadership and team management skills.
    • Excellent communication and interpersonal skills.
    • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks) and Microsoft Office Suite (especially Excel).
    • Detail-oriented with strong organizational and time management skills.
    • Ability to handle multiple tasks and meet deadlines.
    • Knowledge of accounting principles and practices.
Preferred Qualifications:
  • Experience with automated AP systems.
  • Certified Accounts Payable Professional (CAPP) or similar certification.
