Position Summary:   The Office Administrator is an in-office Monday-Friday position that performs a variety of tasks for multiple departments.  The ideal candidate will possess strong communication skills coupled with a team first and detail-oriented mindset.  This is an in-office position located in North Portland.

Job Responsibilities:  
  • Reception: Front desk reception including greeting office visitors; prepare outgoing USPS, UPS, FedEx and Certified mail; answering and transferring all incoming calls; Certificate of Liability Insurance updating, and maintenance. 
  •  Credit: Reseller permit review, verification, and filing.  Submit reports, Setting up cash and charge accounts.  Input of customer maintenance forms; Filing cash accounts, maintenance forms, etc. 
  • Purchasing:  SKU set up and maintenance; promo price file set-up (JDE Application); limited vendor ordering of resale products 
  • Finance/Inventory: Cycle count entry and reporting.  Data entry, and filing and scanning projects; Weekly Inventory Adjustment Reporting. 
  • Sales, Marketing and Store Support:  Enter matrix & contract pricing on customer accounts; account transfers; send out requests for paint chip samples, fan decks, and architectural kits; shelf tag management. 
  • Other: Telework support; oversee janitorial and office supply stock and ordering.  Ad hoc projects as required; Security and protection of corporate assets and inventory.
 
Knowledge, Skills, Requirements and Essential Functions:  
  • Effectively communicates and possesses a collaborative, positive attitude when dealing with all internal departments and personalities across all levels and departments.
  • Highly motivated; keeps objectives top of mind and stays in motion without continuous oversight. 
  • Effective time and organizational management to provide results when handling multiple priorities. 
  • Working the position's schedule and timely, predictable attendance is a requirement for all employees and positions at Rodda Paint. 
  • Oral communication, reading, writing & math skills:  Efficient; fully conversant (speaking, listening), fluent in English. Reading and writing documents in standard English text. Efficient in basic mathematics. 
  • Computer / Program Knowledge: Efficient skills required in using software programs such as MS: Outlook, Excel, Word, PowerPoint. 
  • Familiarity with JDE/AS400/POS systems a plus, internet navigation, online training, etc. 
  • High School Diploma required. 

Physical Requirements: The usual work environment consists of physical conditions typical of an office environment.  The job is performed primarily while sitting with regular standing/walking and movement throughout the building.  Occasional lifting up to 25lb, bending, stooping, reaching and movement of office supplies and packages.  Movement of heavier material items will be assisted with the use of a hand truck.
