About the Role:

In the capacity of Medical Administrative Assistant, you will engage in a variety of responsibilities that ensure the effective functioning of our hospital and business operations.

Key Responsibilities:

- The primary focus of this role involves the creation and management of staffing schedules for our veterinary professionals, along with making necessary adjustments to accommodate unexpected changes.

- The secondary focus is to provide comprehensive administrative and clerical assistance to our medical leadership team. This includes:
  • Managing calendars and coordinating DVM rounds, intern rotations, guest lectures, and various meetings.
  • Ordering and maintaining office supplies.
  • Processing invoices and handling incoming and outgoing correspondence.
  • Serving as the main liaison for relief veterinarians.
  • Collaborating with HR and management.
  • Preparing presentations, reports, letters, memos, and monthly reconciliations for medical leadership.

Compensation: $24-$29/hr based on qualifications and experience.

Work Environment: This position is primarily on-site, with the option to work remotely up to one day per week.

Ideal Candidate:

The successful candidate will be a flexible problem-solver who enjoys developing adaptable systems and possesses excellent interpersonal communication skills. You should have experience in managing complex staff schedules for large teams and demonstrate strong organizational abilities with meticulous attention to detail. You are capable of working independently while also valuing teamwork and effectively navigating interactions with individuals at all organizational levels.

A genuine passion for animals and an understanding of the human-animal bond are essential.

Qualifications:
  • Minimum of 1 year experience in creating and maintaining dynamic staff schedules.
  • At least 3 years of experience in administrative or customer service roles in a professional setting.
  • Preferred experience in a veterinary or medical environment, with familiarity in medical terminology.
  • Proficiency in various administrative and scheduling software.
  • Self-motivated with the ability to make independent decisions.
  • High school diploma or equivalent.
