JOB DESCRIPTION SUMMARY:

The Community Involvement Zone Administrative Assistant provides administrative support to our church's outreach efforts. This role helps prepare and mobilize our people to know Jesus through serving our neighboring community and to take the Gospel from our own backyard to the nations. This position provides administrative support for the Pastor of Renewal and the Pastor of Outreach. This position reports to the Pastor of Outreach. This is a full-time (40 hour), non-exempt (hourly) support level position with benefits.


SPECIFIC RESPONSIBILITIES: 

General Zone Duties

  • Provide General Administrative Support - help manage each pastor’s email inbox, calendars, screen phone calls,  create forms, submit deposits, making copies, run errands, make/return phone calls and other correspondence.
  • Database – Maintain and create systems within the database that allow for effective coordination of events and ministry programming.
  • Volunteer Support - process new volunteer applications, coordinate and communicate volunteer schedules, and train volunteers on database usage and roster management.
  • Financials - Prepare and review monthly credit card and expense reports, complete check requests, and participate in tracking and reconciling program expenses.

Specific Duties - Pastor of Outreach

  • 5+5 Missionaries, Mission Teams, Strategic Partners - aid in communication, visit logistics, facility requests, scheduling of weekend presentations, keeping information up-to-date, etc.
  • Community Outreach Events (Dare to Care, Need Help, etc.) - help establish event timelines and deadlines, facilitate systems for registration and reservations, order apparel, coordinate volunteer schedules, check requests, etc. Assist day-of if requested and as schedule permits.

Specific Duties - Pastor of Renewal

  • Food Bank of the Rockies - help coordinate volunteer scheduling, event coordination and other responsibilities as needed.
  • Celebrate Recovery - provide backup administrative assistance as needed.
  • More Life Community Center - provide backup administrative assistance as needed.

Work Schedule, Meetings and Other Responsibilities

  • Schedule: Monday–Friday (8:00am-4:30pm) with rare, special events as requested.
  • Office Hours: Establish and maintain regular office hours.
  • Meetings: Attend all required staff meetings/retreats (Weekly “Devos & Prayer”, Monthly Staff Luncheons, Annual Staff Retreat, etc.).
  • Other: Though such instances are rare, all Administrative Assistants are expected (and will be trained) to provide substitute/back-up coverage for the front desk and administrative support across departments when needed - and as their schedule permits - during special circumstances (vacation, leave of absence, an open position, or in times of crisis.).

  • Comfortable in interdenominational and multicultural settings.
  • Takes personal initiative in learning.
