Job Description:

As a Receptionist / Office Assistant, you will play a vital role in ensuring our dealership runs smoothly and efficiently. Your primary responsibilities will include:

1. Answering Phone Calls and Providing Courteous Responses:

  • Professionally and promptly answer incoming calls.
  • Address customer inquiries with a friendly and helpful attitude.
  • Maintaining appearance of reception area.
  • Greeting customers and assisting them.
  • Stocking up refreshment area with supplies for customers.
2. Scheduling and Confirming Appointments:

  • Efficiently schedule and confirm appointments for customers.
  • Coordinate with Finance, service, and sales departments to optimize scheduling.
3. Managing Deals

  • Assist in processing contract cancellations requests in compliance with dealership policies.
  • Managing in- Financing deals
  • Processing outgoing mails
  • Preparing letters accordingly to customers
  • Entering data in the system.
  • Documenting
  • Assisting managers as needed.
4. Payment Processing:

  • Accurately process payments from customers.
  • Ensure all financial transactions are handled securely and in accordance with company procedures.
5. Filing:

  • Maintain organized and up-to-date filing systems.
  • Ensure documents are easily accessible for staff as needed.
Qualifications:

  • Must be fluent in Spanish and English
  • Excellent communication skills with a polite and courteous demeanor.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in handling financial transactions.
  • Proficiency in basic computer applications.
  • Previous experience in a dealership or administrative role is a plus but is willing to train.
  • Must be willing to work Saturdays. 
Job Type:
 
Full-time  40 Hours a week from 10AM- 7PM   Wednesday and Sunday off.
