POSITION SUMMARY

 

In collaboration with and under the direction of the Executive Director, the Gaming Commission Administrative Assistant is responsible for assisting the Executive Director with the day-to-day administrative functions of the SSTGC with a high level of discretion, professionalism, and confidentiality.  

 

ESSENTIAL FUNCTIONS

 

  1. Provides administrative support to the Executive Director and Gaming Commissioners. Assist Department Directors with administrative tasks as needed.
  2. Performs bookkeeping tasks such as tracking invoices, office budget tracking and monitoring accounts receivables.
  3. Coordinates and maintain records for Gaming Commission credit cards.
  4. Completes check requests and prepares purchase orders with appropriate supporting documentation and approval.
  5. Maintains and organizes office supply inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  6. Coordinates conferences and travel arrangement for Commission Staff as assigned including flight, hotel accommodations, per diem, and reimbursements.
  7. Answers incoming calls, properly routes calls, and places outgoing calls as needed/required.
  8. Responsible for sending, receiving and distribution of office mail to all departments.
  9. Responsible for and maintains Office key control.
  10. Provide support to the Background Investigators and Licensing Assistant as needed.
  11. May supervise Office Receptionist if/when position is filled.
  12. Performs other duties as assigned by the Executive Director.

 

MINIMUM QUALIFICATIONS

 

  1. Must be at least 21 years of age.
  2. High school diploma or GED is required. 
  3. At least three years of administrative experience is required.
  4. Experience in a similar position may be considered in lieu of education if the applicant’s additional qualifying knowledge and skills closely relate to the position’s skill set.
  5. Ability to qualify for, obtain and maintain a gaming license issued by the Shingle Springs Tribal Gaming Commission, including pre-employment drug test and criminal background check.
  6. Must be of excellent moral character and integrity, qualify for, obtain, and maintain a gaming license issued by the Shingle Springs Gaming Commission.
  7. Must be proficient in the use of commonly used office systems, programs and equipment. 
  8. Must have good writing and verbal communications skills. 
  9. Must have basic quantitative skills, including arithmetic and numerical problem-solving.
  10. Ability to work under pressure, to tight deadlines and with strong attention to detail and timely follow-up.
  11. Ability to be self-directed when required.
  12. Ability to work in confined office settings with others.  
  13. May be required to lift and move files, binders and other storage media, bending over and bending at the knees may be required.
  14. Must be able to tolerate limited exposure to work areas which may contain secondhand cigarette smoke. 
  15. Must interact well with the public.
  16. Must complete contractual Conflict of Interest, Confidentiality and Non-Gaming Agreements.


PREFERRED QUALIFICATIONS

 

  1. Associate’s degree in business, administration, or a related field.
  2. Prior supervisory experience or strong leadership qualities.
  3. Knowledge of Gaming Regulations, Compact, MICS, and Operational Procedures.

 

WORK ENVIRONMENT

 

Work Conditions may include, but are not limited to, the following: Bending at the waist, sitting still for extended periods of time, dexterity of hands and fingers to operate a computer keyboard, exposure to secondhand smoke, hearing and speaking to exchange information, seeing to read reports and data and occasional lifting of 50 pounds or more.

Preference in hiring is given to either the most qualified applicant or a Native American candidate who meets the minimum qualifications. When two (2) or more Native American candidates have comparable qualifications, the following order of preference shall apply: (1) Members of Shingle Springs Band of Miwok Indians; (2) Spouses or domestic partners (certified through Tribal Court) of members of Shingle Springs Band of Miwok Indians; (3) Parents of children of the Shingle Springs Band of Miwok Indians; (4) All other documented Native Americans; (5) All other applicants in accordance with Title 25, U.S. Code, Section 472 and 473. Applicants claiming Native preference must submit verification of Indian eligibility.
