  • Knowledge of the operation, policies, and procedures of the Wayne Township Trustee Office (WTTO) Eligibility Standards and Township Law preferred.

  • Valid Indiana driver’s license.



ESSENTIAL FUNCTIONS: 

  • Provide direction and assistance to departmental staff, and ensure they are properly trained. Ensure staff and Director Intake / Case Management follows the WTTO and Indiana Township Association policies and procedures.  Ensure efficient use of Township dollars.  Follow WTTO Accounting procedures for purchases.  Assess client needs, and provide prompt, necessary relief to eligible citizens and residents of the Wayne Township.
  • Find solutions for complex issues.
  • Attempt to make clients’ visits a positive experience. Encourage, counsel, and motivate clients and employees.  Advocate for clients.
  • Fill in as needed in other departmental positions.
  • Represent WTTO with professional and compassionate delivery of social services.
  • Fully utilize the WTTO software applications.
  • Maintain a good working relationship, and an excellent understanding of utility, faith-based, and social service agencies/organizations, and the services they provide.
  • Maintain confidentiality.
  • Watch for trends of increasing or changing requests of assistance and inform supervisors and directors of them.
  • Identify and resolve problems in a timely manner.

 

 

DUTIES AND RESPONSIBILITIES:  

  • Complete tasks/duties as assigned by the Trustee and Deputy Trustee.
  • Review case files.
  • Monitor Caseworker caseloads and responsibilities. Reassign workers to cover for employee absences. 
  • Ensure high level of customer service.
  • Prioritize and assign work and tasks.
  • Create workflow processes that result in effective and time savings for clients seeking assistance and employees.
  • Monitor client safety while they are in the Intake/Case Management Department.
  • Report trends of increasing or changing requests of assistance to the Deputy and Trustee.
  • Monitor Intake/Case Management communications. Communicate effectively with outside sources as needed and approved by the Trustee.
  • Ensure appropriate completion of paperwork and communications with the Social Security Administration relating to client repayments of assistance.
  • Maintain current knowledge of alternative assistance for clients who are not eligible for township assistance and share information with staff.
  • Resolve client disputes (including complaints and concerns).
  • Inform the Deputy of concerns, issues, suggestions, or problems.
  • Setup, attend, and guide departmental meetings.
  • Monitor client cases to ensure required information has been received and verified, and the cases are accurately processed, documented, and stored properly.
  • Monitor and evaluate staff’s attendance and performance. Administer employee Progressive Discipline Forms. 
  • Ensure the negotiation of client payment extensions and budget payment plans with utility companies and landlords.
  • Refer clients as needed to the WTTO community resource specialist or outside sources for assistance after meeting with Caseworker.
  • Ensure ownership verification of property, through the review of property deeds, information from the Assessor’s office, and other measures.
  • Review Trustee Action letters and vouchers.
  • Report inappropriate actions and/or living conditions and situations to the Trustee.
  • Review client cases and ensure appropriate representation for Appeals Hearings in the Commissioner’s Court.
  • Monitor the usage of numbered forms. Make corrections for incorrect purchase order numbers.
  • Maintain a safe and clean office environment.
  • Attend Indiana Township Association Meetings and WTTO Board meetings as requested by Trustee.
  • Assist with audits, budgets, and reports.
  • Ensure client home inspections are completed in a timely manner.
  • Monitor Outlook messages multiple times daily. Reply as needed or requested.
