  • Familiarity with the operations, policies, and procedures of the Wayne Township Trustee Office (WTTO) Eligibility Standards and Township Law is preferred.

KEY RESPONSIBILITIES:

  • Facilitate effective communication.
  • Provide backup support to the Director as necessary.
  • Skillfully collect, analyze, and validate information from clients, and provide assistance in accordance with WTTO and Indiana Township Association guidelines.
  • Ensure efficient utilization of Township resources.
  • Represent WTTO with professionalism and empathy in delivering social services.
  • Fully leverage WTTO software applications.
  • Uphold confidentiality standards.

DUTIES:

  • Execute tasks as assigned by the Trustee, Deputy Trustee, and Director of Intake/Case Management.
  • Conduct case reviews.
  • Fill in for other departmental roles as needed.
  • Stay informed about alternative assistance options for clients. Maintain strong working relationships with social service agencies, faith-based organizations, and utility service providers in the community, and be knowledgeable about their offerings. Refer clients to the WTTO community resource specialist or external sources for assistance as necessary.
  • Assist with communications related to Intake/Case Management.
  • Timely completion of paperwork and correspondence with the Social Security Administration regarding client repayment of assistance.
  • Monitor the front desk as required - Verify client residency in Wayne Township before directing them for assistance. Assign clients to Caseworkers. Answer front desk calls and transfer as needed. Notify staff of visitors. Provide informational materials to clients as necessary.
  • Resolve client disputes when possible. Involve management and/or security if necessary.
  • Promptly inform the Director of any concerns, issues, or suggestions.
  • Attend departmental meetings.
  • Prepare for and participate in Appeal Hearings in the Commissioner's Court.
  • Reassign staff to cover for absences.
  • Review client cases to ensure all required information is received and verified, and that cases are accurately documented.
  • Negotiate payment extensions and budget plans with utility companies and landlords.
  • Verify property ownership through review of property deeds, information from the Assessor's office, and other methods.
  • Review Trustee Action letters and vouchers.
  • Monitor the use of numbered forms and correct any discrepancies in purchase order numbers.
  • Draft correspondence following general instructions from the Director.
  • Perform photocopying and filing as required. Scan and index client data as necessary.
  • Maintain contact lists.
  • Generate reports as requested by the Township clerk.
  • Conduct home visits for clients who are homebound, as needed.
  • Ensure client safety while in the Intake/Case Management area.
  • Regularly check Outlook messages and respond as necessary.
  • Maintain a safe and organized office environment.
