Collect relevant details about the nature of the case, including facts, timelines, and any supporting documentation or evidence.

Assess the viability of potential cases based on established criteria and firm policies, determining whether they meet the firm's practice area requirements and merit further evaluation.

Document intake information accurately and comprehensively in the firm's case management system FileVine, ensuring that all relevant details are recorded for follow-up and review.

Client Communication and Follow-Up:

Communicate effectively with potential clients to explain the firm's intake process, procedures, and next steps in the evaluation process.

Provide timely and responsive follow-up to inquiries from potential clients, addressing questions, concerns, and requests for information.

Keep detailed records of all client communications and interactions, documenting follow-up efforts and outcomes.

Coordinate with pre-litigation staff to schedule consultations, appointments, or meetings with potential clients as needed.

Case Evaluation and Referral:

Review intake information and assess the potential merits of each case based on established criteria and legal standards.

Identify cases that meet the firm's practice area focus and referral guidelines, referring qualified cases to appropriate attorneys or practice groups within the firm.

Collaborate with pre-litigation staff to discuss potential cases, provide case summaries, and facilitate case assignments as needed.

Communicate case referrals and relevant information to attorneys or external partners, ensuring a smooth transition and continuity of client service.

Client Service Excellence:

Provide compassionate and empathetic support to potential clients during the intake process, demonstrating professionalism, sensitivity, and understanding.

Ensure that clients feel heard, valued, and respected throughout the intake process, regardless of the outcome of their case evaluation.

Data Management and Reporting:

Qualifications: Spanish speaking bi-lingual a plus

Education and Experience:

Previous experience in customer service, client intake, or administrative support roles is advantageous.

Familiarity with legal terminology, procedures, and practice areas may be beneficial but is not always required.

Communication Skills:

Excellent verbal and written communication skills, with the ability to articulate information clearly, concisely, and professionally.

Active listening skills and empathy to understand clients' needs, concerns, and objectives during intake interviews.

Ability to communicate effectively with clients from diverse backgrounds and perspectives with sensitivity and cultural competence.

Organizational Skills:

Strong organizational skills and attention to detail, with the ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment.

Proficiency in time management, task prioritization, and workflow coordination to ensure efficient intake operations and client service delivery.

Computer Proficiency:

Proficiency in using Microsoft Office suite (Word, Excel, Outlook) and other standard office software.

Experience with FileVine or case management software/customer relationship management (CRM) systems is desirable.
