Job DescriptionJob DescriptionFabuwood is seeking for an energetic and responsible Administrative Assistant to perform a variety of administrative and clerical tasks in the Receiving Department. Duties of the Administrative Assistant include providing support to our managers and employees and assisting in daily office needs.

Responsibilities:

  • Monitor and manage emails and communications between departments to ensure timely and effective information flow.
  • Update and move along orders and projects as necessary.
  • Handle HR communications, including assisting with employee inquiries and issues.
  • Prepare timecard reports for management, highlighting employees who are frequently late or absent.
  • Compile and analyze scorecards and various reports for performance tracking.
  • Enter and follow up on service desk tickets to ensure timely resolution of issues.
  • Replenish work orders and maintain inventory levels for Fabuwood and non-Fabuwood items.
  • Prepare and distribute regularly scheduled reports to keep the team informed.
  • Plan and coordinate meetings, taking detailed notes and distributing minutes as needed.
  • Draft and distribute emails, correspondence memos, letters, and forms.
  • Develop and maintain an organized filing system for easy retrieval of documents.

Requirements:

  • Qualifications as an Administrative Assistant or Secretary will be a plus.
  • Proven experience as an Administrative Assistant, Office Admin Assistant, or in another relevant administrative role.
  • Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
