The HR Assistant will be involved in various aspects of human resources including administrative support, maintaining employee records, assisting with the recruitment process, and providing excellent service to our employees. This role requires excellent organizational skills, the ability to handle multiple tasks simultaneously, and a keen attention to detail.

Essential Functions

  • Facilitate the onboarding process for new hires, including preparing employment documents, coordinating onboarding, and submitting requests for Employee Credentials.
  • Process New Hires, promotions, transfers, and terminations in HRIS.
  • Maintaining employee records related to hiring, performance evaluations, and other documentation that may be necessary for compliance with employment laws and regulations.
  • Answer frequently asked questions from applicants and employees about standard policies, benefits, hiring processes, etc.; refer more complex questions to higher-level staff.
  • Process employee badges for New Hires, Transfer, and Promotions.
  • Identify opportunities to streamline HR processes and enhance system efficiency.
  • Develop and document standard operating procedures (SOPs) for HRIS and compliance-related tasks.
  • Provide general administrative support to the HR department, including filing, scanning, photocopying, and organizing HR-related documents and files.
  • Maintain HRIS (Human Resources Information System) records, ensuring data accuracy and completeness for employee records and HR metrics tracking.
  • Administer employee data entry, updates, and maintenance within the HRIS.
  • Act as the primary point of contact for HRIS-related inquiries and support requests.
  • Collaborate with HR colleagues to ensure data accuracy and integrity, troubleshoot data discrepancies, and resolve any issues related to HRIS.
  • Identify opportunities to streamline HR processes and enhance system efficiency.
  • Performs other duties as assigned.

Qualifications

  • Proven experience as an HR Assistant, Staff Assistant, or relevant human resources/administrative position.
  • Familiarity with HR software and computer proficiency (MS Office applications, in particular).
  • Knowledge of employment laws, regulations, and best practices.
  • Excellent organizational skills with an ability to prioritize important projects.
  • Strong phone, email, and in-person communication skills.
  • High school diploma required; further education in Human Resource Management or related field preferred.
  • Certification in Human Resource Management (e.g., SHRM-CP) is a plus.
