Job Description: 

The front desk coordinator will play a vital role in our practice by being the first contact point for new and returning clients and visiting professionals. This front desk coordinator will also need to provide additional support to our admissions department and will work closely with the admissions manager and outpatient referral coordinator.  Our ideal candidate will have strong organization, customer service and communication skills, be reliable and efficient in front desk duties, and contribute to creating a positive environment in the office for our clients and staff.   

 

Job Duties and Responsibilities: 

  • Welcoming and directing clients and professional visitors to the practice.  
  • Checking in clients for their appointments and notifying therapists of appointment arrivals.  
  • Ensuring that the office stays clean and welcoming for clients and visitors.  
  • Answering phone calls and responding to client needs in a timely manner.  
  • Regularly checking voicemails and returning missed calls within 24 hours.  
  • Connect new clients with correct program contacts/services and monitor referral communication to ensure completion of calls. 
  • Ensuring that calls and messages are transferred to the correct department.  
  • Assist admissions with new referrals, obtaining demographic and insurance information, submitting verification of benefits, and entering referrals into portal.  
  • Scheduling and updating appointments (including sending out appointment reminders for the following day).  
  • Checking and sending faxes for various departments.  
  • Respond to emails in a professional and timely manner.  
  • Forwarding billing inquiries to the billing department and following up to ensure timely resolution.  
  • Collect fees and provide daily updates on ancillary spreadsheet.  
  • Updating clinicians on appointment/schedule changes as needed.  
  • Ensuring the front office and lobby are maintaining a safe and HIPPA compliant atmosphere.  
  • Collect cash and check payments from clients, providing receipt and ensuring that payments are filed appropriately.  
  • Checking and replenishing supplies for front office.

Minimum Qualifications: 

  • High school diploma or relevant qualification. At least 2 years of proven experience in a similar role.  
  • Good understanding of office administration practices. 
  • Superb written and verbal communication skills.  
  • Must be able to work in fast paced environment.  

Competencies: 

  • Knowledge of HIPPA compliance.  
  • Strong attention to detail and the ability to multi-task.  
  • Strong organizational skills and ability to complete projects on time.  
  • Ability to show empathy and care for those seeking mental health care.  
  • Proficient at Microsoft Office including Excel, Word, and Google docs.  
  • Communication skills and strong attention to customer service.  
  • Professional demeanor and attitude.  
  • Flexibility to take on administrative tasks as assigned for other departments when needed.
