Job Summary:
As a Front Desk Representative, you will be the first point of contact for our clients and visitors. Your primary responsibility will be to ensure a welcoming and efficient front desk operation. You will handle a variety of tasks including managing phone calls, greeting visitors, and performing administrative duties to support the smooth functioning of our office.
Key Responsibilities:
Reception Duties:
- Greet and welcome guests as they arrive at the office.
- Direct visitors to the appropriate person or department.
- Manage the reception area to ensure it is tidy and organized.
Communication:
- Answer and route phone calls in a professional manner.
- Handle inquiries and provide information about the company and its services.
- Maintain a positive and professional demeanor when interacting with clients and colleagues.
Administrative Support:
- Perform general office duties such as data entry, filing, and scanning documents.
- Schedule and coordinate meetings, appointments, and travel arrangements as needed.
- Monitor and manage office supplies, ensuring inventory levels are maintained.
Customer Service:
- Address and resolve any issues or concerns raised by clients or visitors.
- Provide exceptional service and support to enhance the customer experience.
Qualifications:
- High school diploma or equivalent; additional education or certifications in office administration is a plus.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Ability to handle stressful situations with professionalism and composure.
