THE GIST:

Our client, a well-funded AI start up, seeks an enthusiastic Office Manager/Events Manager to support their team in Palo Alto. This position will be responsible for overseeing day-to-day operations for their tight-knit office + managing company events, as well as providing administrative support to the CEO & other executives. The ideal candidate has a proven track record of administrative excellence at a small tech start up and can hit the ground running, while also championing company culture

THE NITTY GRITTY:

  • Oversee office operations - work with vendors, greet guests, order supplies & catering, distribute mail, etc.
  • Plan employees events, company offsites, and happy hours of varying sizes
  • Provide daily administrative support to the CEO and a team of executives
  • Manage multiple calendars and assist with scheduling
  • Coordinate corporate travel
  • Assist with new hire onboarding
  • Arrange both virtual and onsite meetings, take notes, and follow up on action items
  • Recognize birthdays, work anniversaries, and other special events
  • Track & process expenses
  • Work with external vendors, clients, and important stakeholders
  • Assist with various administrative tasks and special projects, as needed

THE ESSENTIALS:

  • 5+ years of experience as an Executive Assistant and/or Office Manager
  • Experience working at a small tech start up required
  • Event coordination experience highly preferred
  • Ability to work outside traditional business hours, as needed
  • Enthusiasm & excitement for company culture + team building
  • Expert prioritization abilities and attention to detail
  • Propensity to pitch in where you are needed
  • Strong interpersonal skills and a team-player mindset
  • Stellar written and verbal communication skills
  • Fantastic organizational skills and great follow through
  • Ability to effectively problem solve
