About the Role

This position will be based in our Palo Alto, CA office and will require the ability to work independently with minimal supervision. The ideal candidate will have 2+ years of experience in an office or administrative setting and possess excellent communication and problem-solving skills.

Key Responsibilities
  • Office Management: Manage the Talkdesk workplace, ensuring a clean and organized environment for employees and visitors.
  • Guest Services: Greet incoming guests, candidates, partners, and customers, and provide a positive first impression of our company.
  • Logistics and Supply Chain: Distribute mail and deliveries, coordinate outgoing shipments, and manage vendors to keep the office and kitchen stocked and running smoothly.
  • Confidentiality and Security: Handle confidential and sensitive information with discretion and maintain the security of our office and data.
  • Facilities Management: Maintain office facilities, interface with building management when necessary, and ensure the office is clean and well-maintained.
  • Event Planning: Help plan and execute office culture events, such as team-building activities and celebrations.
  • Onboarding and Training: Assist with onboarding new employees, providing them with a smooth transition into the company.
  • IT Support: Provide basic IT-related support as needed, ensuring that employees have the necessary tools to perform their jobs effectively.
  • Vendor Management: Liaise with property management and vendors to ensure that our office is running smoothly and efficiently.
Requirements
  • 2+ years of experience in an office or administrative setting.
  • Excellent communication and problem-solving skills.

Work Environment and Physical Requirements

This role will primarily be based in an office environment, with extended periods of sitting or standing. Limited lifting and equipment usage will be required.
