About the Position

The finance department provides critical organizational support to process, track and manage all organizational income and expenses, and to ensure PFI’s financial sustainability and health to carry out its mission. Practical Farmers of Iowa is in an exciting phase of growth, which brings with it a need for increased efficiency of financial processes to control costs, mitigate risk and streamline internal processes for clarity and expediency.


The finance assistant will review and process accounts payable transactions for the organization. This includes but is not limited to processing external financial transactions for payment to outside vendors and customers. The finance assistant will also prepare materials and information required for internal and external financial inquiries, including preparing and submitting 1099s for vendors and preparing weekly cash flow reports to share with the finance director.


Duties


Process external financial transactions (expenses) for payment by:

  • Printing and mailing checks or generating ACH transfer files
  • Serving as the point of contact for all accounts payable transactions
  • Collecting and filing required documentation for applicable vendors
  • Importing transactions into accounting software
  • Reviewing all accounts payable transactions for accuracy and following up with appropriate staff members for supporting documentation
  • Reviewing monthly accounts payable reports and ensuring accuracy of debits and credits
  • Processing changes and updates in our credit card processing portal

Organize and record information and documentation for accounts payable processes, including:

  • Creating and updating new vendor records
  • Exporting credit card data into our enterprise resource planning system

Prepare materials and information required for internal and external financial projects, including:

  • Pulling expense documentation for audits
  • Preparing weekly cash flow reports
  • Preparing and submitting 1099s for vendors
  • Supporting PFI staff inquiries about payments and vendors
  • Procuring supplies and materials needed for accounts payable processes

Required Qualifications and Characteristics

  • Knowledge of generally accepted accounting principles
  • Knowledge of nonprofit fund accounting
  • Knowledge of accounts payable duties
  • Proficient in use of Microsoft Excel
  • Strong written and verbal communication skills
  • Data entry skills
  • Ability to complete routine processes in a timely manner
  • Has high ethical and moral standards

Desired Qualifications and Characteristics

  • Knowledge of how to read an accounts payable aging report
  • Knowledge of common methods that prevent payment to fraudulent entities
  • Experience with ERP software or grant accounting software
  • Attention to detail
  • Ability to work independently and with a team


This is a full-time position based in our Ames, Iowa, office with potential for a hybrid schedule. This position requires a minimum of two days in the office per week. The pay range for this position is $16.59 to $19.23 hourly with annual opportunity for merit increases and position advancement.
