The Office Administrator in an employment agency plays a pivotal role in managing the day-to-day administrative operations to ensure efficient office functioning. This role involves coordinating activities, providing administrative support to the recruitment team, maintaining office systems, and delivering exceptional client service. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment.Key Responsibilities:
  • Oversee general office operations, including managing correspondence, scheduling meetings, and maintaining a clean, professional office environment.
  • Handle phone calls, emails, and inquiries from clients, candidates, and employees, providing prompt and courteous responses.
  • Assist candidates with applications, resume submissions, and interview scheduling.
  • Coordinate onboarding documentation for new hires.
  • Ensure the candidate database is up-to-date with relevant information.
  • Support recruitment consultants with administrative tasks such as job postings, candidate tracking, and resume management.
  • Help organize job fairs and recruitment events by managing logistics and scheduling.
  • Maintain accurate and up-to-date records of client accounts, job orders, placements, and billing information.
  • Liaise with recruitment team members, clients, and candidates to ensure smooth communication and process flow.
  • Ensure compliance with agency policies, legal requirements, and data protection regulations.
Qualifications:
  • Proven experience in office administration, ideally in a recruitment or employment agency setting.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and recruitment software (Applicant Tracking Systems preferred).
  • Strong organizational skills and ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • High level of discretion in handling sensitive and confidential information.
  • Attention to detail and strong problem-solving abilities.
  • Ability to work independently and collaboratively in a team environment.
Work Conditions:
  • Temp to Hire, Full-time position, Monday through Friday 730A-430P
  • May require occasional overtime or weekend work during peak periods.
