Job Summary:We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The Administrative Assistant is expected to be resourceful, self-motivated, and capable of handling multiple priorities in a fast-paced environment.
Key Responsibilities:- Office Management: Manage the front desk, greet visitors, answer and direct phone calls, and handle correspondence.
- Administrative Support: Provide administrative support to senior managers, including scheduling meetings, preparing agendas, taking minutes, and organizing travel arrangements.
- Communication: Serve as the point of contact for internal and external clients. Handle inquiries and provide information as needed.
- Scheduling: Coordinate and schedule appointments, meetings, and events. Manage calendars and ensure all necessary arrangements are made.
- Record Keeping: Maintain an organized filing system of paper and electronic documents. Ensure data accuracy and confidentiality.
- Project Assistance: Assist with special projects and perform other related duties as assigned.
- High school diploma or equivalent; college degree preferred.
- Proficiency in MS Office (MS Word, MS Excel, and MS PowerPoint, in particular).
- Excellent time management skills and ability to prioritize work.
- Strong organizational skills with the ability to multitask.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
