The SCC Contracts, Grants and Utilization Management (UM) Team is looking for a responsible Administrative Assistant to perform a variety of administrative tasks. Duties include providing support to the Contracts, Grants and UM staff, maintaining our contracts and grants database, distributing documents electronically, assisting with our accreditation and quality activities and assisting with subcontracts and UM tasks. Other skills required are excellent written and verbal communication, strong organizational skills with the ability to multi-task, attention to detail and problem-solving skills, excellent time management skills, the ability to prioritize, and the desire to learn and grow. Working knowledge of office equipment, like printers and computer proficiency in Microsoft Office (Excel, Word, PowerPoint), and the ability to learn and utilize other software programs required.


PURPOSE:

Responsible for administrative support for contracts, subcontracts and grants database management, general assistance with contracts and grants, assistance with subcontract management and assistance with utilization management tasks.


KEY RESPONSIBILITIES:

  • Maintains database system system for contracts, grants and subcontracts, both electronic and hard copy as needed. Includes record set-up and electronic filing all related documents.
  • Maintains database of due dates for contracts, grant and subcontracts, which are electronically distributed to all management receiving contract and grant funds. Enters completion of reporting requirements in database and produces periodic reports on reporting compliance.
  • Distributes contracts, grants and subcontracts to Senior Management, Program Directors and Accounting and Contracts/Grants Staff as appropriate.
  • Participates in the ongoing preparation and updating of Contracts and Grants Policies and Procedures.
  • Assists with administrative tasks related to Council on Accreditation (COA) and Performance and Quality Improvement (PQI) processes.
  • Assists with general subcontract management tasks, including reviewing emergency plans and reports.
  • Assists Utilization Management team with residential billing, purchase of service processes, distribution of reports, updating and maintaining resource guide and folders.
  • As needed, serve visitors at the front desk, by greeting, welcoming, directing and announcing them appropriately.
  • As needed, answer, screen and forward any incoming calls while providing basic information.
  • Other administrative support as needed.


Requirements:

EDUCATION / EXPERIENCE:

Three years’ experience in an administrative position. Minimum of a High School Diploma required. Associate degree preferred.
