The fundamental purpose for this position is to support the Operations Manager and the team by providing an array of services that expedite and maintain daily operations activities to ensure accuracy and efficiency. This is a hybrid position that could indirectly support all key departments – sales, operations, accounting to some extent. This position requires occasional travel.
Responsibilities
- Adhere and encourage compliance with company policies and procedures
- Manage various key customer-related functions, such as, processing credit applications, inputting new customer accounts, receiving and processing payments
- Coordinate with sales team on order pricing and terms
- Input data into our systems accurately, and run database reporting
- Maintain a proactive approach to customer complaints, requests to expedite, and any other customer issues
- Provide feedback reports to the Corporate Office and Supervisor regarding customer contacts
- Carry out administrative duties such as answering the phone, filing, typing, copying, binding, scanning, etc.
- Assist billing team on related customer, order, or paperwork requests and inquiries
- Perform other tasks that may be required or as assigned by the Branch Manager
- Schedule fuel/propane/lube truck loads
- Track fuel/propane/lube shipments to ensure all customers’ requirements are met
- Manage daily delivery routes and schedules for drivers
- Assist in establishing and evaluating driver performance
- Recommend disciplinary decisions and actions to management team
- Understand and enforce DOT regulations
- Manage system and status updates to ensure visibility of all shipments
- Monitor and validate accuracy of deliveries
- Recommend hiring, coaching, discipline, employment termination, and other employment status decisions and actions to management team
QUALIFICATIONS/POSITION REQUIREMENTS:
- Exceptional customer service skills and great personality
- Excellent written and verbal communication skills
- Ability to prioritize work and apply independent judgement
- Basic email and PC functions
- Advanced proficiency in Microsoft Office (Excel)
- Knowledge of common business practices relating to the purchase, pricing, terms, shipment, taxes, and payment for products and services
- Ability to learn and retain product specific information and utilize to position the features and benefits to customer
- Self-motivated and results oriented, competitive with strong organizational and interpersonal skills
- Oil + Gas industry experience a plus
- Experience in Customer Service or related field
- Willing to work outside of regular business hours, including weekends, as needed
