The Facilities Operations Manager is responsible for overseeing the physical assets, general maintenance repairs, and preventive maintenance and construction or rehabilitation projects for the community, in addition to support of physical infrastructure needs of residential events and experiences. Responsible for maintaining adequate inventory of supplies for repairs and monthly maintenance budget monitoring. Supervises: Under direction of the Golden Oak Leadership, supervises on-site maintenance staff, which may include Groundskeeper(s), and other contracted labor(s).


1. Under direction of the Corporate Maintenance Supervisor and Senior Director of Association Management, supervises and schedules maintenance activities for community and maintenance staff.

  • Work with the Artemis office team and Golden Oak Leadership.
  • Complete weekly/daily maintenance employee schedules and assignments in tandem with Golden Oak leadership and Artemis Corporate Maintenance Supervisor.
  • Communicate assignments and major tasks to employees. Make sure they have all the instructions necessary to complete assignment properly.
  • Periodically check the work progress of each maintenance employee. Provide immediate assistance and instruction as needed.
  • Provide input to Corporate Maintenance Supervisor and Senior Director of Association Management regarding employee performance evaluations, employee compliments from residents, corrective counseling needs, etc.
  • Assist Golden Oak leadership in recruiting and interviewing potential staff members.
  • Assist with completing maintenance work as required.
  • Covers shifts for staff members on benefit time.

2. Coordinate, schedule and respond to management service requests.

  • Use Service Request and schedules to establish priorities. Determine with Golden Oak leadership, requests or emergencies that should be top priority. Assign Service Requests equally to Service Technician(s). Monitor and drive the completion of Service Requests to limit callbacks & down time.
  • Repair/replace any maintenance requests within scope of maintenance responsibility.
  • Monitor the number of times a specific repair must be repeated. Determine course of action, proactively communicate with Golden Oak leadership and drive to completion. d. Establish weekly reporting of outstanding work.

3. Coordinate and schedule appropriate safety and skills training for maintenance employees.

  • Assess training needs of employees and along with the Corporate Maintenance Supervisor.
  • Provide one-on-one training to employees that may need to polish current skills or wish to learn new skills. Prepare, train, and encourage all levels of maintenance staff for the opportunity to be promoted.
  • Provide initial and ongoing safety and safety equipment training for all new employees.

4. Identify and correct hazardous community conditions.

  • Tour property daily to look for needed maintenance and liability hazards and report to Golden Oak leadership. Repair hazards or assign completion of these tasks to the Maintenance Technicians.
  • Periodically complete written property safety audits.

5. Ordering supplies and managing maintenance budget.

  • Working with Golden Oak Leadership and using input from maintenance staff, determine supplies and equipment needs. Must get approval from Golden Oak leadership and Artemis prior to placing all orders.
  • Must abide by all policies relating to GO charge accounts.
  • All recognition dollars must be approved in advance by Golden Oak leadership.
  • Provide input to Golden Oak Leadership and Corporate Maintenance Supervisor in determining needs for next fiscal year budget.

6. Attendance is an essential job function.

  • Supervisor is responsible for covering approved time off of direct reports.
  • Overtime should be avoided whenever possible, and any overtime requests must be approved by Golden Oak leadership.
  • PTO is per Artemis vacation policy.

7. Responsible for updating weekly schedules.

  • Must work off the base coverage schedule provided by Golden Oak leadership.
  • Must notify Golden Oak leadership and Artemis in the event schedule needs can not be met.
  • If adjustments to schedule are required (ie PTO, call –sick, etc.), updates need to be approved in advance by Golden Oak leadership.
  • Flex time can be applied with Golden Oak leadership approval.
Requirements:

EXPERIENCE AND SPECIALIZED KNOWLEDGE:

Position requires a minimum of 3 years general maintenance experience and at least 1-year

multi-family, industrial or institutional Service Request experience. Previous supervisory experience is required. Must be able to troubleshoot and problem solve for repairs associated with building systems, electronic systems, all major appliances, pool and spa equipment and other systems within the community (gates, phone jacks, irrigation systems, etc.).

TYPICAL PHYSICAL DEMANDS:

Will be exposed to constant activity that requires intermittent standing, bending, crouching, pushing/pulling, lifting/moving/carrying (light to heavy weight material/appliances/equipment), climbing ladders/stairs. Requires manual dexterity sufficient to operate small-motorized equipment (i.e., repetitive hand/wrist, griping and elbow motion). Must have normal range of hearing, vision, color discrimination and depth perception for proper operation and repair of machines, wiring, and equipment. Must be able to complete tasks wearing appropriate safety equipment (i.e., back belts, goggles, masks, gloves, etc.). Must be able to work in all indoor and outdoor environments. Must possess valid FL driver’s license and be willing and able to operate standard road vehicles as well as smaller electric vehicles.
