Summary/Objective

The Accounting/Payroll Coordinator compiles, computes, records, and prepares billing, accounting and other data for receivables and payables purposes and processes weekly payroll.

Duties and responsibilities

  • Operate the Epicor accounting software to record, store, and analyze accounting information
  • Invoice customers based on related shipping documentation
  • Receive, record, and enter cash receipts in Epicor
  • Match vendor invoices with applicable purchase orders and packing slips and enter into Epicor using proper the ledger code
  • Investigate invoicing discrepancies and missing supporting documents and determine appropriate action or next steps
  • Generate and print checks using the Epicor software and match check with supporting documentation
  • Reconcile company credit card statements and verify proper receipts are included
  • Contact customers and resolve past due invoices
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes
  • Classify, record, and file financial records along with all proper supporting documentation
  • Review changes entered by HR Department for accuracy prior to processing payroll
  • Process weekly payroll through payroll vendor
  • Manage and review work product of the AR/AP Assistant
  • Proactively consider and research improvements to accounting and payroll processes and present them for approval and implementation
  • Contact certain vendors to resolve any malfunctions with vending or copy machines
  • Order and replenish office supplies
  • Other jobs and/or duties as directed by the Chief Financial Officer

Qualifications

  • Education/Experience
    • High School Diploma (or GED or High School Equivalence Certificate)
    • Associates Degree in Business, Accounting, or Finance or equivalent of training and experience
    • 1-2 years AR/AP experience
  • Technology
    • Windows PC
    • Microsoft Office Suite Proficiency
    • Accounting Software
  • Knowledge
    • Clerical - knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
    • Mathematics - knowledge of arithmetic, basic addition, subtraction, multiplication, division
    • English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
    • Economics and Accounting - Knowledge of basic economic and accounting principles and practices
    • Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services

Physical requirements

  • Must be able to move about the assigned area
  • Job involves working from a seated or standing position for long periods (8-10 hrs.)
  • Must be able to position self to inspect products and equipment at ground level
  • Must be able to move products or equipment weighing up to 45 lbs.
  • Must be able to work in safety sensitive role, fit for duty and free of any adverse effects of drugs or alcohol, including prescribed or over the counter drugs or other substances which may alter job performance during working times (e.g., drowsiness, impaired reflexes or reaction time, lack of concentration, etc.
