Position Overview:

Under the guidance of the clinic manager, the Admissions Coordinator is responsible for overseeing the admission processes for outpatient therapy services. This role includes monitoring and addressing unpaid patient accounts while acting as a financial intermediary.

Key Responsibilities:

  • Develop and maintain positive relationships with patients, families, referral sources, insurance providers, and team members.
  • Serve as the primary contact for inquiries related to registration, scheduling, billing, and account management.
  • Collaborate with healthcare professionals regarding admission protocols, documentation, and reimbursement matters.
  • Confirm insurance benefits and pre-authorize all outpatient admissions, ensuring accurate data entry into patient accounts.
  • Evaluate alternative payment options and clarify co-payment responsibilities to patients and their families prior to admission.
  • Monitor Medicare certifications and recertifications, ensuring timely physician signatures and authorizations.
  • Coordinate the assignment of new admissions, manage patient registrations, and oversee discharges from the system. Prepare and distribute patient charts to therapists.
  • Maintain staff schedules and process daily charges, conducting audits on a regular basis.
  • Track, collect, and document patient co-payments, preparing reports for financial transport.
  • Monitor therapy cap limits in coordination with patients and therapists.
  • Act as a financial liaison between the business office, reimbursement coordinator, and patients/families.
  • Review daily discharge and re-admit reports to ensure all patient records are accounted for. Organize and prepare medical records for scanning and transport.
  • Maintain an active flowboard for patient charts and keep records of charts sent to medical records.
  • Participate in account audits and appeals processes.
  • Conduct data collection, analysis, and reporting of departmental statistics as assigned.
  • Process payroll for staff as needed.
  • Maintain departmental records for budget reports, invoices, and time sheets.
  • Ensure compliance with regulatory standards and maintain confidentiality of medical records.
  • Provide ongoing education for staff regarding changes in regulations and payer policies, maintaining expertise in these areas.
  • Adhere to established policies, procedures, and safety standards. Complete required educational assignments annually and contribute to quality improvement initiatives.
  • Perform additional duties as required.

Qualifications:

Education:

A combination of formal education and/or relevant work experience that demonstrates the necessary knowledge, skills, and abilities for the role, typically equivalent to a high school diploma or GED. Preference may be given to candidates with a Bachelor's degree in a related field from an accredited institution.

Experience:

A combination of formal education and/or relevant work experience that demonstrates the necessary knowledge, skills, and abilities for the role, typically equivalent to an Associate's degree. Preference may be given to candidates with a Bachelor's degree in a related field from an accredited institution.
