Admissions Coordinator

Position Overview:
Under the guidance of the clinic manager, the Admissions Coordinator is responsible for overseeing the admission processes for outpatient therapy services. This role involves monitoring and addressing outstanding patient accounts while acting as a financial intermediary.
Key Responsibilities:
- Cultivates and maintains positive relationships with patients, families, referral sources, insurance providers, and staff.
- Acts as the primary contact for inquiries related to registration, scheduling, billing, and accounts.
- Collaborates with clinical staff regarding admission protocols, documentation, and reimbursement matters.
- Confirms insurance benefits and secures pre-authorizations for all outpatient admissions, ensuring accurate entry of information into account notes.
- Evaluates alternative payment options and explains co-payment responsibilities to patients and their families prior to admission.
- Monitors Medicare certifications and recertifications, ensuring timely physician signatures and authorizations.
- Manages the assignment of new admissions, overseeing patient registration, re-registration, and discharges. Compiles and distributes necessary documentation to therapists.
- Organizes staff schedules and processes daily charges, conducting audits on a daily and monthly basis.
- Tracks, collects, and documents patient co-payments, preparing reports for financial transport.
- Monitors therapy cap limits in coordination with patients and therapists.
- Serves as a financial intermediary between the business office, reimbursement coordinator, and patients/families.
- Reviews daily discharge and re-admit reports to ensure all patient charts are accurately accounted for. Organizes and prepares medical records for transport and digital archiving.
- Maintains an active flowboard for patient charts and keeps records of documents sent to medical records.
- Participates in account audits and appeals processes.
- Conducts data collection, analysis, and reporting of departmental statistics as assigned.
- Assists in payroll editing for staff as required.
- Maintains departmental records for budget reporting, invoices, and time sheets.
- Ensures compliance with regulatory standards and maintains confidentiality of medical records.
- Provides ongoing education for staff regarding changes in regulations and payer policies, maintaining expertise in these areas.
- Adheres to established policies, procedures, and safety standards, completing required training annually and engaging in quality improvement initiatives as necessary.
- Performs additional duties as assigned.
Qualifications:
Education:
No specific educational requirements; a combination of formal education and/or relevant work experience that demonstrates the necessary knowledge, skills, and abilities for the role is acceptable. Preference may be given to candidates with a Bachelor's degree in a related field from an accredited institution.
