Position Overview:

Under the guidance of the clinic manager, the Admissions Coordinator is responsible for overseeing the admission processes for outpatient therapy services. This role involves monitoring and pursuing outstanding patient accounts while acting as a financial intermediary.

Key Responsibilities:

  • Establishes and maintains positive public relations with patients, families, referral sources, third-party payers, and staff.
  • Acts as the primary contact for inquiries related to registration, scheduling, billing, and accounts.
  • Collaborates with clinical staff on admission protocols, documentation, and reimbursement matters.
  • Confirms insurance benefits and pre-certifies all outpatient admissions, ensuring accurate data entry into account notes. Assists in obtaining necessary authorizations.
  • Evaluates alternative payment options and explains co-payment responsibilities to patients and families prior to admission.
  • Monitors Medicare certifications and recertifications, ensuring physician signatures and authorizations are obtained.
  • Coordinates the assignment of new admissions, managing patient registration, re-registration, and discharges within the system. Prepares and distributes patient charts to therapists.
  • Maintains staff schedules and processes daily charges, conducting audits on a daily and monthly basis.
  • Tracks, collects, and documents patient co-payments, preparing reports for financial transport.
  • Monitors therapy cap limits in coordination with patients and therapists.
  • Serves as a financial liaison between the business office, reimbursement coordinator, and patients/families.
  • Conducts audits of daily discharge and re-admit reports to ensure all patient charts are accounted for, organizing medical records for transport and scanning.
  • Maintains a flowboard for active and discharged patient charts, keeping records of charts sent to medical records.
  • Participates in account audits and appeals processes.
  • Performs data collection, analysis, and reporting of departmental statistics as assigned.
  • Edits payroll for staff as required.
  • Maintains departmental records for budget reports, invoices, and time sheets.
  • Ensures compliance with regulatory standards and confidentiality of medical records.
  • Provides ongoing education for staff regarding regulatory and payer policy updates, maintaining expertise in these areas.
  • Adheres to policies, procedures, and safety standards, completing required educational assignments annually. Works towards achieving departmental goals and participates in quality improvement initiatives as requested.
  • Performs additional duties as assigned.

Qualifications:

Minimum Education: A combination of formal education and/or relevant work experience sufficient to demonstrate the necessary knowledge, skills, and abilities for the role, typically equivalent to a high school diploma or GED. Preference may be given to candidates with a Bachelor's degree in a related field from an accredited institution.

Minimum Experience: A combination of formal education and/or relevant work experience sufficient to demonstrate the necessary knowledge, skills, and abilities for the role, typically equivalent to an Associate's degree. Preference may be given to candidates with a Bachelor's degree in a related field from an accredited institution.
