The Position: Senior Administrator

Location: Cleveland, Oh

Summary: The Senior Administrator is a crucial executive support role, acting as a pivotal ally to the President & CEO. This position manages critical operational tasks with high professionalism and confidentiality, and serves as a liaison to the Board of Directors, coordinating all board activities and ensuring effective communication.

Duties and Responsibilities:

  • Executive Support / Project Management: Serve as the primary support to the President & CEO, facilitating efficient operation of the executive office and ensuring readiness for all executive activities.
  • Strategic Partner: Collaborate closely with the President & CEO on strategic initiatives, providing critical input, managing follow-ups, and ensuring organizational goals are aligned and met.
  • Board Liaison: Manage all logistics for the Board of Directors, including scheduling, agenda preparation, material distribution, and minute-taking, to support effective board governance.
  • Project Management Leadership: Develop and oversee project plans to enhance operational efficiencies, applying project management principles to ensure timely completion of initiatives and effective allocation of resources.
  • Stakeholder Relations: Maintain communications and manage relationships with key internal and external stakeholders, representing the President & CEO.
  • Event, Meeting & Calendar Management: Organize and oversee high-level meetings, events, and the comprehensive management of the President & CEO’s calendar, ensuring meticulous scheduling and coordination.
  • Communication Management: Oversee the preparation of executive communications to enhance the clarity and impact of messages delivered both internally and externally.
  • Performance Reporting: Compile and present detailed reports to the President & CEO and the Board, offering insights into organizational performance and strategic matters.
  • Executive Briefing and Preparation: Ensure the President & CEO is thoroughly prepared for all internal and external meetings, briefed on relevant internal and external matters.


Qualifications:

  • Executive Presence: Demonstrated ability to work closely with high-level executives, maintaining a professional demeanor and the capability to act as a proxy when required.
  • Strategic Thinking: Strong analytical and problem-solving skills, with the capacity to contribute to strategic planning and decision-making.
  • Communication Excellence: Superior verbal and written communication skills, adept at negotiating and persuading in high-stakes environments.
  • Confidentiality and Discretion: Unwavering commitment to maintaining confidentiality and exercising discretion in all matters.
  • Bachelor’s degree in Business Administration, Management, or a closely related field.
  • At least 5-7 years of progressive experience in executive support and senior project management roles, preferably directly supporting a CEO.
