Overall Function:

The responsibility of the Operations Support Coordinator is to assist both the Director of Operations and Assistant Director of Contracts, Licensing & Registration under the supervision of the Director of Operations.

Specific responsibilities include but will not be limited to:

 

Provide Director of Operations Support:

  • Maintain calendar and email
  • Make travel arrangements for Managing Partner
  • Arrange facilities for meetings (to be determined with Director of Operations)
  • Communicate meetings; track attendance and take notes
  • Track and monitor all licenses and important documentation for Managing Partner
  • Support Director of Operations with other staff roles as needed – cross trained in other roles

 

Contracts, Licensing & Registration Coordinator:

Responsible to assist in the contracting, licensing and registration of financial representatives, associate financial representatives and field staff for Northwestern Mutual, NMIS, and NLTC. Assists in the resolution of technical problems.  Maintains strict confidences and holds all information confidential. Communicates sensitive matters to appropriate leaders and/or the individual affected.

  • Provide support to the Assistant Director of Contracts, Licensing & Registration
  • Using Home Office systems, administer, input, track and follow-up on requirements and appropriate paperwork for contracting, licensing or registration of personnel. This includes new personnel, changes to existing personnel or termination of personnel
  • Provides information on the technical requirements of the contracting, licensing and registration process to appropriate personnel
  • Act as liaison between the Network Office and Home Office throughout the entire contracting, licensing and registration processes
  • Act as liaison between the Network Office and background investigation company for requesting and follow up of inspection reports. Flag findings to the Managing Partner and/or Director of Network Office Supervision for determining appropriate action
  • Act as liaison between the Network Office and the Insurance Departments to include; scheduling exams, license status updates and transfer requests
  • Schedule and track licensing or registration education or exam requirements, to include continuing education, for industry or Home Office courses. Provide successful course completion information to the Home Office or outside vendors
  • As appropriate, facilitate and track requirements of non-resident licensing requirements
  • Maintain and update all CLR forms and document

 

 

Qualifications

  • Bachelor’s Degree required
  • Strong computer and keyboarding skills and Microsoft Office experience
  • 2+ years administrative/management experience preferred
  • 2-4 years customer service experience strongly preferred
  • Excellent interpersonal skills
  • High level of organizational skills and attention to detail
  • Excellent written and oral communication skills
  • Ability to exercise good judgment
  • Ability to maintain a high degree of confidentiality
  • Ability to multi-task
  • Ability to take independent action to make sound decisions
  • Proven ability to independently set schedules and handle multiple priority assignments within strict deadlines
  • Ability to work effectively with people at all levels
  • Ability to be flexible and open-minded
  • Professional office skills
  • Ability to get Life and Health licensed
