Twin Lakes Counseling is an insurance-based group psychotherapy practice in Federal Way, Washington. We are dedicated to making transformative mental health counseling and family therapy accessible to our community. We are looking for a skilled and highly professional Human Resources Manager to support our Clinical Director in all HR-related tasks, including but not limited to onboarding new employees, managing benefits, documenting payroll exceptions, maintaining and updating recruitment materials, updating the personnel section of the website, researching employment requirements by state, and making recommendations to increase compliance with these regulations. This position works closely with the Business Owner and requires a high level of comfort with various technologies.


We are looking for a fun, personable, and highly skilled communicator to join our team. This is a part-time (approx. 20 hours per week), flexible position that can be done fully remotely if the work is conducted from a private and HIPAA-compliant office set-up. Professionalism, attention to detail, and excellent people skills are extremely important. Experience in human resources, accounting, healthcare, or small business leadership is useful but not required. The job is not easy, but it is rewarding and you get to help support a team of motivated and passionate therapists as they provide vital services to their community 


Main Responsibilities:


  • Support the Clinical Director in onboarding new employees
  • Orient each new hire to employment policies and answer employee questions about time off and benefits
  • With the support of the Owner and Clinical Director, appropriately handle employee requests for accommodations, personnel complaints, performance improvement plans, medical leave, and legal issues that arise with employment
  • Communicate with staff about new and existing benefits, researching and making recommendations to the Owner regarding expansion of the benefits package
  • Track employee benefit eligibility and manage enrollment and un-enrollment in the Company's retirement, health insurance (including COBRA), intern scholarship, educational assistance plans, and other benefit programs
  • Maintain each employee's profile within our employment management software, BambooHR
  • Manage our hiring system, including screening candidates, identifying potential hires, facilitating the interview process, and sending Offer Letters
  • Facilitate employee transitions, including intern-to-employee, status changes (part-time-to-full-time), promotions, and off-boarding including exit interviews
  • Maintain the company website with up-to-date, engaging information about each clinician and staff member
  • Complete employment verifications and review background checks as needed
  • Keep payroll software up-to-date with state tax rates, benefit specifications, and payroll exceptions
  • Be well informed about employment policies in each of the states in which the company has employees (currently WA, TX, NC, and MD)
  • In collaboration with the Owner and Clinical Director, create and update job descriptions and make recommendations for pay based on strategic goals and market-based pay ranges
  • Maintain and keep current an ongoing record of trainings completed by each staff member, ensuring compliance with state and federal guidelines for the field
  • Review payroll weekly to ensure accuracy and troubleshoot problems as they arise
  • Keep the company's organizational chart and onboarding materials up-to-date
  • Stay incredibly well organized, despite multiple sources of information
  • Other human resource related tasks as requested by the Owner and Clinical Director

  • Aptitude for spreadsheets and comfort with Google Sheets

  • A high level of integrity when working with sensitive and confidential information
  • A strong collaborator and confident problem solver
  • Humble, hungry, & smart (i.e., emotionally intelligent)


Position Requirements:


  • Bachelors degree or higher
  • Able to work at least 15 hours per week on HR-related tasks (sometimes up to 25 hours as the position requires)
  • In-home office setup, including: Mac or PC Computer with the most recent version of MS Office installed, high-speed internet access, computer with webcam, & designated quiet and professional space to work
  • Ability to research, understand, and implement complicated employment policies from various states
  • Available for some meetings M-F during business hours PST
  • Knowledge of and comfort with Google Suites

  • Located close enough (or willing to travel) to our office in Federal Way, Washington, to help with on-site activities and quarterly staff events
  • A passion for making mental health services accessible to the community
  • A strong knowledge of employment policies and benefit packages, such as retirement plans, health insurance, student loan repayment, etc.
  • Experience working in any of the following industries: human resources, accounting, mental health, healthcare administration, non-profit or small business leadership
  • Familiarity with BambooHR (our company's HR software) and/or Gusto (our payroll provider)
  • Located in one of the following states in which the company already has employees: Washington, Texas, North Carolina, or Maryland
