SUMMARY:

The Office and Facilities Administrator will coordinate office activities and operations, support HR and facilities activities, while providing clerical and administrative support to management. This role will support Fremont, Seattle (remote), and San Diego (remote) offices.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet and register visitors, new hires, and direct them to the appropriate person or department. Works with HR with new hire onboarding.
  • Take pictures and administer badges for new hires, visitors and temporary workers.
  • Manage and distribute incoming and outgoing mail and packages.
  • Organizes office events as requested.
  • Ensures the facilities are clean and organized and presentable to employees and visitors. Works with cleaning company as needed. Submits service requests for facilities repairs as needed.
  • Order weekly lunches and help with catering support for internal meetings and outside events. Purchases and maintains office supplies and break-room inventory.
  • Facilitates and coordinates travel and accommodations for candidates and international employees.
  • Supports site safety initiatives as needed.
  • Assists executives with duties as needed.

REQUIREMENTS & QUALIFICATIONS:

The requirements listed below represent the knowledge, skill, and/or ability required.

  • Bachelor's Degree Preferred. High School Diploma or GED accepted if meeting experience qualifications.
  • At least 5 years of experience in an Administrative Assistant or Office Administrator role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Teams, SharePoint, Outlook) and familiarity with office equipment.
  • Savvy with phone apps and comfortable with technology.
