Corporate and Executive Support

The Corporate and Executive Support Administrator is responsible for providing comprehensive support and managing administrative operations for the Greenlane Senior Leadership Team, and staff as required. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Responsibilities include handling multifaceted preparation and planning for internal and external meetings, travel, preparation of staff for meetings; onboarding new hires; managing hardware and software. In addition, the Corporate and Executive Support Administrator contributes to special projects, plans the details for various events including offsites, conventions and more. This role will also set up a master repository for document management via SharePoint. The ideal candidate has a desire to grow, a strong interest in helping to shape company culture, and a mindset toward continuous improvement.

Key Responsibilities:


Executive Support:

  • Provide comprehensive administrative support to C-level executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, presentations, and reports.
  • Handle confidential information with discretion and professionalism.

Office Management:

  • Oversee the day-to-day operations of the office, including maintaining office supplies, managing vendor relationships, mail and ensuring a smooth workflow.
  • Coordinate office events, meetings, and team activities.
  • Responsible for equipment management and onboarding of new hires on internal systems, specifically SharePoint.
  • Serve as the point of contact for office-related inquiries and issues.

SharePoint Management:

  • Manage and maintain the company’s SharePoint site, ensuring that all documents, files, and resources are organized and easily accessible.
  • Assist in the creation and maintenance of SharePoint sites, document libraries, lists, and workflows.
  • Train staff on how to use SharePoint effectively, providing ongoing support as needed.

Communication & Coordination:

  • Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
  • Coordinate with IT and other departments to ensure smooth integration and use of technology within the office.
  • Assist in preparing for and following up on meetings, including compiling agendas and minutes.


Project Management:

  • Assist with special projects and initiatives, providing support as needed.
  • Track project progress and ensure deadlines are met.


Requirements:

Qualifications:

  • Experience: Minimum of 3-5 years of experience as an Executive Assistant or Office Manager, with proven experience managing SharePoint.
  • Technical Skills: Must have previously designed internal SharePoint site from the ground up. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint is required. Familiarity with other collaboration tools is a plus.
  • Organizational Skills: Strong organizational skills with the ability to prioritize and manage multiple tasks.
  • Communication: Excellent written and verbal communication skills.
  • Problem-Solving: Ability to anticipate needs, solve problems independently, and work under pressure.
  • Discretion: Ability to handle sensitive information with confidentiality.

Education:

Associates and/or Bachelors Degree or relevant experience
