About the Role

You will be responsible for performing a wide variety of highly responsible and complex  administrative and secretarial tasks in support of Our House’s vision, mission and goals. The position  involves significant teamwork and collaborative efforts with our administrative and management staff,  other team members, board members, and diverse community members. 

 

What You’ll Do

Direct Support for the Executive Director and Senior Leadership Team

  • Provide administrative and clerical support to the Executive Director, Development Director, and Director of Programs
  • Maintain business calendars, scheduling meetings and appointments
  • Manage business contacts
  • Provide meeting preparation and follow-up
  • Coordinate business travel arrangements
  • Handle phone calls and voicemails for admin call group and Executive Director
  • Assist with correspondence including drafting, editing and preparing various documents, reports and letters
  • Provide media & PR support (scheduling interviews, facilitating tours, and check presentations)
  • Assist with organizing (filing, prioritizing, calendars, etc.)
  • Ensure cleanliness and preparedness of Executive Director’s office and other spaces that are used for greeting and interacting with guests


Support for Board and Committees 

  • Maintain board & committee contact information
  • Provide regular updates, reminders and correspondence with board & committees
  • Assist with planning, preparation, execution, and follow-through for all board and board committee meetings
  • Assist with board and committee recruitment
  • Prepare, schedule and handle logistics for: board meetings, onboarding of new members, board retreat, board holiday party and other board-related events
  • Prepare board & committee meeting minutes
  • Provide timely board & committee meeting follow-up
  • Assist board and committee members with connecting to Our House
  • Keep track of all commitment forms and pledges and create end-of-the-year statements  for each board member
  • Handle scheduling for board and committee meetings, including reserving rooms and  inviting appropriate staff


Donor Cultivation and Stewardship

  • Work closely with Executive Director and senior leadership team to ensure good cultivation and stewardship of donors and donor relationships
  • Take the lead to prepare and send donor gift acknowledgement letters in a timely manner
  • Accurately enter all monetary donation information in the Our House database in a timely manner
  • Help with the coordination of any cultivation or donor recognition activities including  preparation of invitations, programs and other materials
  • Assist with fundraising and donor events


Other Duties

  • Provide great customer service to all Our House supporters, partners, team members, board members, and other stakeholders
  • Conduct other duties as assigned to fulfill Our House’s mission

 

What You’ll Bring

  • Minimum of three years of professional work experience
  • Experience as an executive secretary or administrative assistant with a stable work history that demonstrates progressively responsible administrative duties
  • Attention to detail and strong written and verbal communication skills
  • Ability to work independently, pro-actively and review own work for accuracy
  • Must have excellent judgment, be trustworthy and be able to consistently maintain  confidentiality
  • Ability to work effectively in collaboration with diverse groups of people
  • Extensive computer skills and knowledge of office equipment and procedures
  • Demonstrate respect for the dignity of all people and values diversity and empowerment
  • Must be trustworthy, hard-working, positive, and adaptable

 

Requirements

  • Must possess a valid driver’s license and vehicle to use in performance of job. Position requires some travel within Central Arkansas.
  • Must be able to pass criminal background checks, child and adult maltreatment registry checks, sex offender registry checks, and a pre-employment drug screen
