Job DescriptionJob DescriptionAction Industries is seeking a skilled Field Office Assistant to join our team in the Gulf Coast region. As a Field Office Assistant, you will be responsible for performing a variety of bookkeeping and administrative tasks. The Field Office Assistant will ensure the accuracy of client billing and help with safety and administration (payroll, hiring, compliance). The person needs to be independently motivated, able to think quickly and creatively to solve problems, and organized. Must have the capability to prioritize and multi-task.  This person will be required to travel from various sites and home office as needed. Current TWIC, security passport, and clear Disa status or ability to obtain upon hire.

Field Office Assistant Specific Duties and Responsibilities:
  • Receives, reviews and processes vendor invoices
  • Takes delivery of goods and/or materials and ensures accurate reporting in accounting system
  • Works with Operations to resolving any outstanding AP or AR issues
  • Completes required onboarding paperwork for employee-owners and maintains accurate HR forms/records
  • Coordinates weekly payroll function
  • Ensures jobsite timesheets are entered accurately and timely
  • Reconciles payroll to ensure accurate billings to customers
  • Prepares pay application weekly/monthly according to prime contract terms and Action policy
  • Reviews contracts change orders for accuracy and policy compliance
  • Posts approved change orders in the system timely
  • Performs other administrative or clerical duties at the field office
  • Ensures effective team coverage by cross training on various roles/responsibilities
  • Prepare client billings
  • Other duties as assigned
  • Job costing and change orders (DCR)
  • Provide administrative support
  • While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and reach with hands and arms
General Requirements for Field Office Assistant:
  • Prepare payroll accurately and in a timely manner.  Prepare daily cost reports for the client.
  • Utilize ADP Online and Excel for accounting tasks.
  • Coordinate office events, meetings, and appointments.
  • Assist with special projects as needed.
  • Assisting Field Office Manager with tracking, entering, and balancing time for payroll and billing using company established timekeeping and payroll procedures as well as company and/or client provided software.
  • Clear understanding of construction payroll, billing, and cost tracking, high attention to detail, verbal and written communication skills, well organized, time management, document control, and advanced proficiency in Excel and Outlook is required.
  • Experience working in accounting and payroll software such as ADP and NetSuite preferred but not required.
  • General administrative duties including data entry, filing, and use of office equipment.
  • Ability to multitask and to work in a fast-paced environment. Available to work weekends and travel to multiple field office locations as needed.
