Key Responsibilities
  • Review and process vendor invoices accurately.
  • Receive and verify deliveries of goods, ensuring proper documentation in the accounting system.
  • Collaborate with the Operations team to address any outstanding accounts payable or receivable issues.
  • Complete onboarding paperwork for new employee-owners and maintain accurate human resources records.
  • Coordinate payroll functions on a weekly basis.
  • Ensure timely and accurate entry of jobsite timesheets.
  • Reconcile payroll to guarantee correct billing to clients.
  • Prepare pay applications in accordance with prime contract terms and company policies.
  • Review change orders for accuracy and compliance with policies.
  • Post approved change orders promptly in the system.
  • Perform various administrative tasks as required in the field office.
  • Facilitate effective team coverage through cross-training on different roles.
  • Prepare client billings and other assigned duties.
  • Engage in job costing and change order processes.
  • Provide comprehensive administrative support.
General Requirements
  • Accurately prepare payroll and daily cost reports for clients.
  • Utilize accounting software such as ADP Online and Excel for financial tasks.
  • Organize office events, meetings, and appointments.
  • Assist with special projects as necessary.
  • Support the Field Office Manager in tracking and balancing time for payroll and billing.
  • Possess a clear understanding of construction payroll, billing, and cost tracking, with strong attention to detail.
  • Exhibit excellent verbal and written communication skills, along with advanced proficiency in Excel and Outlook.
  • Experience with accounting and payroll software like ADP and NetSuite is preferred.
  • Perform general administrative duties including data entry and filing.
  • Ability to multitask in a fast-paced environment and willingness to travel as needed.
