General Summary:

The Operations Support Specialist is responsible for providing comprehensive assistance to field operations staff to ensure operational efficiency and compliance in the areas of subcontractor coordination, fleet program administration, storage kiosk management, scheduling and department intranet maintenance. This role supports not only Field Operations but works in conjunction with Installation Management to assist where needed.

Essential Job Functions and Responsibilities:

  • Maintain and update the subcontractor (subco) list.
  • Conduct regular audits of subcontractors for insurance compliance.
  • Screen incoming requests and direct them to the appropriate Field Operations Manager (FOM).
  • Provide support to subcontractors during the onboarding process.
  • Oversee the management of the fleet program, including field maintenance requests.
  • Monitor and analyze fleet spending, ensuring adherence to budgetary constraints.
  • Act as a liaison with Enterprise for fleet-related matters.
  • Manage storage kiosks for tech equipment.
  • Track spending and requirements related to the storage kiosks.
  • Maintain and update Mood Connect, ensuring accurate and up-to-date information.
  • Track and address weekend coverage gaps to ensure operational continuity.
  • Analyze data and create presentations for customer satisfaction and operational metrics globally.
  • Track and manage Tech of the Month program
  • Other duties as assigned by management

Essential Job Qualifications:

  • High School Diploma or equivalent plus 1-3 years of relevant administrative business experience; Associate or higher degree is a plus

Knowledge/Skills/Abilities:

  • Clear and effective verbal and written communication skills
  • Strong organizational skills and the ability to prioritize and multi-task efficiently
  • Detail oriented with strong analytical skills focusing on accuracy and precision
  • Proactive and takes initiative
  • Intermediate knowledge of Excel; Proficient in other Microsoft Office products for data analysis, reporting and presentations
  • Strong decision-making skills with little oversight
  • Works well with others as team work is essential for success
  • Ability to problem solve and troubleshoot
