Position Summary:

The Payroll and Benefits Enrollment Specialist is responsible for processing and managing WEAVE’s payroll and benefits enrollment management functions for the agency’s 130+ employees. The Specialist ensures that all employees are paid accurately and timely and that changes in benefit enrollments are processed timely and accurately. The position maintains accurate records, prepares reports, and complies with all relevant wage and hour laws and regulations.

Payroll and Benefits Specialist Responsibilities:

  • Process automated semi-monthly payroll for all exempt and non-exempt employees
  • Reviews timesheets for accuracy and follows up as necessary to ensure that all timesheets have the appropriate approvals prior to processing
  • Ensures accurate preparation and input of data to payroll system
  • Interacts with payroll vendor as needed to ensure payroll processing is running accurately
  • Processes various payroll adjustments, e.g. garnishments, etc.
  • Audits payroll taxes, workers comp code and deductions for accuracy
  • Verifies and distributes year end W-2’s
  • Assists with annual EEO reporting
  • Files and maintains payroll records and related employee information in a confidential manner
  • Maintains newly eligible and terminated employees list on benefit database
  • Meets with employees to educate on benefits and enrollment
  • Liaises with benefits broker and employee
  • Validates monthly benefit billings
  • Collect, verify, and enter payroll data from timesheets and other sources
  • Calculate pay according to hours worked, incorporating leaves, overtime, pay differentials, taxes, deductions, and benefits
  • Prepare and distribute paychecks or direct deposits to employees on a semi-monthly basis
  • Reconcile payroll and benefits accounts and resolve any discrepancies or issues.
  • Prepare and submit reports on payroll activities to management (e.g., meal and rest breaks)
  • Comply with federal, state, and local laws and regulations regarding payroll
  • Perform other human resources or administrative tasks as assigned

Qualifications:

  • Two plus years of proven experience as a payroll specialist or payroll manager, preferably experience with multiple locations
  • Hands-on knowledge of payroll software including ADP or similar payroll software
  • Professional verbal and written communication skills with individuals
  • Able to take initiative, make sound decisions, and assume ownership and accountability for issues, problems, projects, and assignments within the position and WEAVE’s general policy guidelines
  • Ability to work well under pressure while exhibiting a professional demeanor to all staff
  • Able to prioritize workload effectively and efficiently, in order to meet deadlines
  • Establish and maintain positive and cooperative working relations with those contacted in the course of work at all levels
  • Utilize Microsoft Office, including Word and Excel for Windows

The work environment is a busy office setting in a two-story building with stairs and an elevator. Must be able to lift and carry 10-15 lbs., stoop and bend, and get from one location to another in the course of doing business including climb stairs or use an elevator. Employee may also need to remain in one position (i.e., sitting or standing) for an extended period of time while completing work tasks. Must be able to efficiently operate a keyboard and mouse or adaptive equivalent, write reports, take notes; utilize desk tools such as phones or calculators, and utilize larger office equipment such as printers and copy machines.
