Position Overview:

The Payroll and Benefits Coordinator plays a crucial role in overseeing and executing the payroll and benefits enrollment processes for WEAVE Inc., which serves over 130 employees. This position guarantees that all staff receive their compensation accurately and on time, while also ensuring that any modifications to benefit enrollments are handled promptly and correctly. The Coordinator is responsible for maintaining precise records, generating reports, and adhering to all applicable wage and hour laws and regulations.

Key Responsibilities:

  • Administer automated semi-monthly payroll for both exempt and non-exempt personnel.
  • Review timesheets for precision and follow up as needed to confirm all timesheets have the necessary approvals before processing.
  • Ensure accurate data preparation and entry into the payroll system.
  • Collaborate with payroll vendors to guarantee smooth payroll processing.
  • Manage various payroll adjustments, including garnishments.
  • Conduct audits on payroll taxes, workers' compensation codes, and deductions for accuracy.
  • Verify and distribute year-end W-2 forms.
  • Assist with annual Equal Employment Opportunity (EEO) reporting.
  • File and maintain payroll records and related employee information confidentially.
  • Update the benefits database with lists of newly eligible and terminated employees.
  • Educate employees about benefits and enrollment processes.
  • Act as a liaison between employees and benefits brokers.
  • Validate monthly benefit invoices.
  • Collect, verify, and input payroll data from various sources.
  • Calculate compensation based on hours worked, including leaves, overtime, pay differentials, taxes, deductions, and benefits.
  • Prepare and distribute paychecks or direct deposits on a semi-monthly schedule.
  • Reconcile payroll and benefits accounts, addressing any discrepancies or issues.
  • Generate and submit reports on payroll activities to management.
  • Comply with all federal, state, and local regulations regarding payroll.
  • Perform additional human resources or administrative tasks as assigned.

Qualifications:

  • A minimum of two years of demonstrated experience as a payroll specialist or payroll manager, preferably in a multi-location environment.
  • Proficient in payroll software, including ADP or similar systems.
  • Excellent verbal and written communication skills.
  • Ability to take initiative, make informed decisions, and accept responsibility for issues and projects.
  • Capable of working effectively under pressure while maintaining professionalism.
  • Strong organizational skills to prioritize workload efficiently and meet deadlines.
  • Ability to establish and maintain positive working relationships with colleagues at all levels.
  • Proficient in Microsoft Office, particularly Word and Excel.
