We are seeking a detail oriented and well organized office administrator for our corporate office in Plano, TX. The ideal candidate will handle administrative tasks, provide excellent customer service to residents, assist with property management operations and support the day-to-day operations of the company. Key Responsibilities:

Administrative Support:

  • Manage and organize office files, records, and documentation.
  • Prepare and process correspondence, and reports.
  • Schedule and coordinate meetings, appointments, and property viewings.
  • Answer phone calls, emails, and in-person inquiries; provide information or direct inquiries to appropriate staff.

Customer Service:

  • Greet and assist visitors, residents, and prospective tenants.
  • Address and resolve tenant issues and concerns in a professional and timely manner.
  • Provide information about available properties, leasing terms, and community amenities.

Financial Tasks:

  • Process payments, including cash, checks, and electronic transactions.
  • Assist with invoicing and tracking of accounts payable and receivable.
  • Prepare financial reports and summaries as needed.

Office Management:

  • Maintain office supplies and equipment; order replacements as needed.
  • Ensure the office environment is clean and organized.
  • Assist with preparing and distributing internal and external communications.

Compliance and Documentation:

  • Ensure all activities comply with company policies and procedures, as well as local, state, and federal regulations.
  • Assist with preparing documentation for audits and regulatory inspections.

Requirements

Education and Experience:

  • High school diploma or equivalent required; associate’s degree or higher in business administration, property management, or a related field preferred.
  • Proven experience in an administrative role, preferably in property management or real estate.

Skills and Abilities:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with property management software (e.g., Resman, Yardi, AppFolio) is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both verbal and written.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong problem-solving skills and attention to detail.

Physical Requirements:

  • Work Schedule: Regular 40 hour work week; We are open to 6 hours/day, 30 hours per week too
  • Compensation: $25/hour
