OVERVIEW

This is a full-time, entry-level position that will provide administrative support and project support. This position will support Health & Human Services (HHS), Centers for Medicare & Medicaid Services (CMS) which serves the public as a trusted partner and steward, dedicated to advancing health equity, expanding coverage, and improving health outcomes.

This position offers a collaborative, engaging, and challenging work environment with competitive compensation. The Administrative Assistant will leverage a range of technical, administrative, and project support to various team members. This candidate must have excellent verbal and written communication skills, ability to maintain professional and ethical working relationships, and interact professionally with a diverse customer group including executives, managers, subject matter experts, and stakeholders.

DUTIES

  • Accept all letters and packages, and distribute them as appropriate
  • Assist with scheduling meetings
  • Develop, format, and maintain various project documents, deliverables, and spreadsheets
  • Provide meticulous and thorough quality reviews of project documents, deliverables, and spreadsheets
  • Assist with the development of task completion protocols and processes
  • Provide Tier 3 e-mail customer service support using a supplied helpdesk
  • Triage and document incoming inquiries
  • Provide document management and version control using established conventions
  • Develop meeting agendas; provide note taking support for internal and external meetings to develop meeting minutes; take action items
  • Schedule meetings, coordinate, and run webinars and conference calls, if necessary
  • Maintain and update project documentation
  • Perform other duties as assigned

MINIMUM QUALIFICATIONS

  • Bachelor's Degree from an accredited College or University

PREFERRED QUALIFICATIONS

  • Proficient in Microsoft Office Suite, SharePoint, and Excel
  • Ability to produce meeting agendas and summaries
  • Ability to coordinate multiple tasks, ensuring accuracy and attention to detail
  • Ability and willingness to learn new software applications
  • Ability and willingness to learn and follow processes
  • Ability to work as a member of an integrated team
  • Excellent problem-solving skills
