Position Summary

Wisconsin Family Ties, an innovative nonprofit in the children's mental health field, is seeking an office coordinator.  The office coordinator will help maintain the daily operations of the organization by providing administrative support and ensuring resources are available to help staff accomplish their tasks. This position requires being in the office 2-3 days a week with a flexible schedule of 10-20 hours per week.


Essential Job Duties:

  • Greet visitors and accept deliveries.
  • Assist BOM with posting jobs and scheduling interviews
  • Track credentialing status for WFT program staff
  • Send welcome packets & resources to new WFT employees
  • Maintain WFT records and documents in accordance with WFT policy and direction from the BOM.  Update assigned documents on SharePoint (e.g., staff directory, etc.).
  • Liaise with vendors to maintain office machines and other assets
  • Manage inventory of WFT supplies, materials, and resources (e.g., office supplies, tech gear, brochures, tchotchkes) and order as needed
  • Provide planning, logistical, and administrative support for WFT events & meetings
  • Handle communications that come through the executive office
  • Maintain a professional, organized appearance in the office and storage units
  • Run errands as needed for the office (e.g., post office, bank) 


Key Requirements

  • Associate degree or above desired.  High school graduate with demonstrated advanced Administrative Assistant experience considered instead of education. 
  • Two years of experience as an office coordinator, office manager, or an administrative assistant
  • Experience raising a child with social, emotional, behavioral, or mental health challenges preferred
  • Proficient in using Microsoft Office applications, Outlook, SharePoint
  • Exceptionally detailed-oriented; good problem-solving skills
  • Excellent verbal and written communication skills
  • Strong organization and time-management skills
  • Able to maintain a professional and positive attitude in a fast-paced, changing environment; able to interact effectively and judiciously with coworkers
