JOB SUMMARY: The Field Services Administrative Assistant is responsible for providing administrative

support and completion of special projects for the Office Administrative Manager. This position is also responsible for answering incoming phone calls and greeting visitors to Excell.

  • Take Inbound calls & customer service contacts
  • Compiles and distributes daily attendance with accuracy
  • ID badge creation, distribution & management of building access system
  • Manage Excell Brands owner’s mailings weekly, ensuring timely receipt
  • Managing Inventory, Orders & Shipping of all Office & Field supplies
  • Direct Service account management
  • UPS return shipment investigations
  • Prepare weekly/monthly/quarterly reports and directives
  • Maintains reception, conference room and small kitchen common areas
  • Provides backup for Field Services team members in their absence

  • Provides backup support for other sales and marketing team members when unavailable
  • All other duties assigned by manager

JOB REQUIREMENTS:

  • 1+ year of previous experience with a multi-line telephone system
  • 1+ year of previous experience with Google Drive & Sheets
  • Proficiency using Microsoft Office products (Excel, Word, Outlook), will be required to take a proficiency skills test during interview stage

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Ability to effectively communicate, both orally and in writing with team members, managers and customers
  • Ability to work independently and treat confidential information with discretion
  • Ability to remain professional and maintain a pleasant demeanor in dealing with all of the requirements of the position.
  • Ability to work necessary hours to complete all tasks in a timely and effective manner
  • Ability to use critical thinking and problem-solving skills.

ENVIRONMENTAL AND PHYSICAL ACTIVITY REQUIREMENTS: The daily responsibilities of this position constantly require effective talking, hearing, sitting, walking and standing functions. Frequent repetitive motion activities are required. Must be able to read print and computer-based materials, and to do so with consistent accuracy. Most of these functions require light physical exertion and are conducted in a temperature controlled environment with occasional exposure to hot and cold temperature.

INTELLECTUAL/EMOTIONAL REQUIREMENTS: The occupant of this position must be able to perform the responsibilities of the position well, under pressure. The position requires adaptability to performing a variety of duties, often changing from one task to another without loss of efficiency or composure. This position requires the ability to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of others. It also requires adaptability to fluctuate between priorities daily while being responsive to needs as they arise.
