Receptionist

The Receptionist is the face of our organization and embodies our commitment to exceptional customer service, ensuring a welcoming and professional experience for guests, clients, and employees. This pivotal role demands advanced administrative capabilities, exemplary communication skills, proactive problem-solving acumen, and a proven ability to thrive in a fast-paced setting. The Receptionist provides excellent customer service to internal and external customers and demonstrates strict confidentiality with all team members while serving as an ambassador of our culture.
Essential Functions:
- Welcome visitors warmly and professionally – both in-person and over the phone, always providing exceptional customer service, and ensuring they are promptly directed to the appropriate person or department.
- Manage a multi-line phone system, skillfully answering a high volume of calls and ensuring timely connection to the correct individual by transferring calls via phone, email or voicemail.
- Maintain a pristine and inviting reception area.
- Offer clear and precise information both in-person and through phone and email communications, ensuring a helpful and professional experience.
- Receive, organize and promptly distribute daily incoming mail deliveries.
- Order front office supplies and keep inventory of stock.
- Maintain strict confidentiality and discretion when handling sensitive information and interactions, always ensuring utmost trust and professionalism.
- Update calendars and schedule meetings as requested.
- Assist in setting up company events and meetings, and conferences as needed.
- Adhere to all Company safety rules, standards, and guidelines.
- Perform other duties as assigned
Required Knowledge, Skills, and Abilities:
- Requires strong organizational skills and attention to detail.
- Requires the ability to effectively build rapport with both internal and external customers.
- Requires a positive attitude and ability to function both independently and in a team setting.
- Must demonstrate integrity and perform duties in an ethical manner.
- Must be able to prioritize multiple responsibilities and manage time effectively.
- Must be computer literate in all Microsoft Office products.
- Must be able to communicate in English with regard to the essential functions of the position
Required Experience and Education:
- Associates degree preferred; high school diploma required.
- Two years prior administrative experience preferred, one year required

Physical Demands:
- Must be able to lift, carry, push and/or pull 20 lbs.
- Requires visual, hearing, and speech acuity.
- Frequently required to sit, stand, walk and climb stairs.
