POSITION OVERVIEW:
The Client Relations Coordinator acts as the initial point of contact for clients and callers. This role encompasses various administrative support tasks and receptionist duties.

KEY RESPONSIBILITIES:
1. Manage incoming calls and direct them to the appropriate team member.
2. Welcome and guide visitors to the organization.
3. Take and relay messages for staff members.
4. Handle, categorize, and distribute incoming correspondence.
5. Organize the collection and delivery of express mail services (e.g., FedEx, UPS).
6. Input builder contracts into real estate closing software.
7. Oversee general office email and forward messages to the correct individuals.
8. Assist with additional clerical tasks such as photocopying, scanning, and filing.
9. Maintain and update the closing calendar board.
10. Dispatch title documents to lenders and realtors.
11. Log key packages and file them appropriately.
12. Welcome all guests and collect identification documentation.
13. Ensure cleanliness and organization of conference rooms and office areas.

QUALIFICATIONS:
- High school diploma or equivalent required.
- Exceptional communication and interpersonal abilities.
- Strong organizational skills with meticulous attention to detail.
- Capacity to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office Suite.
- Bilingual candidates are preferred.
- Professional appearance and conduct are essential.

PHYSICAL REQUIREMENTS:
While performing the duties of this position, the employee is required to communicate effectively. Visual capabilities required include close vision.

The employee frequently needs to sit and utilize their hands and fingers to operate office equipment such as computers and copiers.


Additionally, the employee may occasionally need to stand, walk, reach with their arms and hands, and perform actions such as stooping, kneeling, or crouching.
