Service Department Coordinator

JOB SUMMARY: The Service Coordinator is a motivated, versatile, vital part of the Messer Team. Under the direction of the Customer Service Supervisor, the Service Coordinator receives, records and posts work orders for the Messer service department. Additionally, the coordinator assists with the dispatch of service technicians to install and service Messer machines throughout North America.
ESSENTIAL DUTIES and RESPONSIBILITIES:
- Answer incoming calls from customers or Messer service technicians and forward support requests as appropriate to facilitate support
- Dispatch technicians to a variety of locations in the United States, including making necessary travel arrangements
- Help maintain the accuracy of our service technician’s time prior to payroll dates and follow up with them to ensure they are completing all appropriate paperwork
- Assist in the validation and submission of accurate and timely expense reports to our accounting department
- Organize and coordinate the installation and service of Messer machines and equipment with appropriate customer contacts
- Maintain daily log of field service reports and record data to accurately report labor to specific jobs/customers
- Maintain the service schedule in conjunction with the Service Supervisor and Manager to track open jobs from beginning to end
- Coordinate with Sales Dept. and schedule all new machine installs
- Manage basic administrative service duties that contribute to timely invoicing, and assist the department in invoicing out completed jobs on a monthly basis
- Prepare preventive maintenance and virtual service contract proposals as required
- Compile, track, and maintain service department performance data, generating reports as required
- Continuously review current processes and search out improvement methods; recommend modifications and improvements to processes and procedures

MINIMUM EDUCATION & QUALIFICATIONS:
- Must have a minimum 2 years customer service or service coordinator experience
- Associates in Accounting or Business not required but is preferred
ADDITIONAL KNOWLEDGE, SKILLS & ABILITIES:
- Strong computer skills including the ability to use Microsoft Word, Excel and Power Point along with a willingness and aptitude to learn new software programs as required
- Strong oral and written communication skills
- Must demonstrate a solid understanding of customer service
- Must be very detail-oriented and demonstrate effective problem-solving skills
- Must be a highly motivated, self-starter, able to prioritize, while managing time and working projects effectively
- Must have good judgment and decision-making skills
