Position Overview

The Front Desk Coordinator is responsible for supporting the daily operations of the office, ensuring a welcoming and organized environment for visitors, clients, and staff. Duties include reception tasks, assisting with client needs, overseeing UA activities, and performing clerical/office duties as assigned.


Duties and Responsibilities

  1. Assist the Intake Director with day-to-day business operations, including opening and closing the office.
  2. Perform secretarial and receptionist duties, such as answering phones, screening calls, handling correspondence, and processing incoming and outgoing mail.
  3. Manage UA activity for clients when House Manager coverage is unavailable.
  4. Maintain lunch-time medication logs (Monday-Thursday).
  5. Monitor clients to ensure they are attending group sessions or individual appointments.
  6. Distribute meal cards to clients as needed.
  7. Mail family packs to family members.
  8. Maintain a clean and organized office environment, including ordering office supplies and books.
  9. Ensure compliance with DHCS, IMS, CARF, and Joint Commission standards.
  10. Scan and upload client documents into their files.
  11. Maintain a professional and ethical relationship with staff, clients, and visitors.
  12. Perform additional duties as assigned by the Intake Director and Management.

  • Communication Skills: Communicate clearly and effectively in both written and verbal formats; demonstrate excellent phone etiquette.
  • Conduct: Maintain professionalism and adhere to the organization's code of conduct at all times.


Qualifications and Requirements

  • Detail-oriented with strong organizational and time management skills.
  • Excellent verbal communication skills and customer service orientation.
  • Ability to manage complex situations effectively.
  • Familiarity with computer systems (emails, data entry, etc.).
  • Must pass a TB test, background check, and drug screen.
  • Preferred: CPR/First Aid certification and individuals who have maintained at least one (1) year of sobriety (if in personal recovery).
