Position Overview: We are seeking a highly organized and detail-oriented Office Manager to oversee the day-to-day administrative operations of our office. The ideal candidate will have a strong background in office management, excellent leadership skills, and the ability to manage multiple tasks efficiently. As the Office Manager, you will play a vital role in maintaining a productive and harmonious office environment, ensuring smooth operations, and supporting our team in achieving their goals.

Responsibilities:

Office Administration:

  • Oversee daily office operations, including managing office supplies, equipment, and facilities.
  • Ensure the office is clean, organized, and well-maintained.
  • Develop and implement office policies and procedures to improve efficiency and effectiveness.

Financial Management:

  • Manage office budget, track expenses, and ensure cost-effective operations.
  • Handle accounts payable and receivable, including invoicing and payment processing.
  • Assist in preparing financial reports and budgets as required.

HR and Team Support:

  • Coordinate recruitment processes, including posting job vacancies, screening resumes, and scheduling interviews.
  • Onboard new employees, ensuring they have the necessary resources and information.
  • Maintain employee records and manage HR documentation.
  • Plan and coordinate office events, meetings, and team-building activities.

Communication and Correspondence:

  • Serve as the primary point of contact for internal and external communications.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Assist in preparing and editing documents, presentations, and reports.

Technology and Systems Management:

  • Oversee office technology, including computers, printers, and software.
  • Coordinate with IT support to resolve technical issues promptly.
  • Implement and maintain office management software and systems.

Vendor and Contract Management:

  • Manage relationships with office vendors and service providers.
  • Negotiate contracts and agreements to ensure cost-effective services.
  • Monitor vendor performance and address any issues or concerns.

Compliance and Safety:

  • Ensure compliance with office policies, health and safety regulations, and legal requirements.
  • Conduct regular safety inspections and address any hazards.
  • Maintain confidentiality and security of sensitive information.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Proven experience as an Office Manager or in a similar administrative role.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in office management software (e.g., MS Office, Google Workspace).
  • Basic accounting skills and familiarity with financial management.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Knowledge of HR practices and procedures is a plus.
